ProfileLegal Assistant I-III Duties : Performs a variety of routine and highly complex legal tasks for one or more attorneys. Work involves researching, analyzing, investigating, drafting and proofing legal documents, and assisting attorneys with successful case management in Federal Bankruptcy Court. Legal Assistant I : Drafts, prepares, reviews, and edits pleadings, motions, briefs, abstracts, legislative histories, petitions, summary judgments, rules, and correspondence in accordance with federal court and other applicable policies and rules. Researches and analyzes legal sources such as statutes, case law, administrative records, opinions, abstracts and rules and regulations; prepares memoranda on research findings. Prepares settlement and judgment documents; may interview witnesses and assists with background investigations; organizes documents. Participates in coordinating, assembling and preparing evidence, exhibits, affidavits and other documents for use in legal proceedings. Participates in coordinating discovery, including the drafting, responding and calendaring of interrogatories, requests for production, requests for admissions and other requests for information in accordance with local, state, federal and agency rules and procedures. Schedules, attends, assists, and prepares attorneys for hearings, trials, agency meetings, appellate arguments, depositions, docket calls, administrative hearings or committee meetings. Reviews citations, quotations, footnotes, and references for accuracy; key cites cases. Prepares and coordinates service of subpoenas, notices of deposition and other legal documents to witnesses and parties to actions. Reviews mail and screens calls for attorneys. Files pleadings with court. Assists with coordinating, assembling and preparing evidence, exhibits, affidavits and other documents for use in legal proceedings. Assists in all phases of trial preparation, including setting hearings/depositions/meetings, ordering demonstrative aides, coordinating discovery requests with client agencies, organizing trial notebooks and exhibits and preparing witnesses for trial. zssists attorneys and support staff with case management. Maintains calendar/docket, files, case openings and closings. Communicates with state agencies, court personnel or outside entities. Performs related work as assigned. Maintains relevant knowledge necessary to perform essential job functions. Attends work regularly in compliance with agreed-upon work schedule. Ensures security and confidentiality of sensitive and/or protected information. Complies with all agency policies and procedures, including those pertaining to ethics and integrity. Legal Assistant II - All the above functions for a Legal Assistant I, Plus: Participates in managing attorneys = case-loads including scheduling, prioritizing, investigating, preparing chronologies, fact summaries and filing Legal Assistant III – All the above functions for a Legal Assistant II, Plus: Provides training and technical guidance to less tenured staff.
Qualification and Experience
Legal Assistant I: Must have Graduation from high school or equivalent. Must have Ninety credit hours from an accredited college or university; may substitute one year full-time legal assistant, legal secretary, or general office experience in a legal environment for the required education, with a maximum substitution of three years. Must have knowledge of general office practices. Knowledge of legal documents is required. Skill in handling multiple tasks, prioritizing, and meeting deadlines. Skill in effective oral and written communication [Writing sample required at the time of interview, if selected]. Skill in exercising sound judgment and effective decision making. Ability to receive and respond positively to constructive feedback. Ability to work cooperatively with others in a professional office environment. Ability to provide excellent customer service. Ability to work more than 40 hours as needed and in compliance with the FLSA. Ability to lift and relocate 30 lbs. Ability to travel (including overnight travel) up to 5%.
Legal Assistant II: All the above qualifications for a Legal Assistant I, Plus:
Thirty additional credit hours from an accredited college or university; may substitute one year full-time legal assistant, legal secretary, or general office experience in a legal environment for the required education, with a maximum substitution of four years. Must have knowledge of Westlaw, Lexis Nexis, or other legal research tools. Skill in conducting effective research. Ability to effectively manage attorneys’ caseload.
Legal Assistant III: All the above qualifications for a Legal Assistant II, Plus:
One year full-time legal assistant experience; may substitute a master’s degree program from an accredited college or university OR forty credit hours from an accredited law school for the required legal assistance experience. Ability to proficiently prepare and review legal documents independently.
Should preferably have Graduation from a course of study for legal assistants [Copy of certificate required at time of interview]. Legal Assistant or Legal Secretary experience is preferred. Using Excel and Word Experience: With computerized legal research is preferred. Prior state experience is preferred.
