Intake Specialist (Part-time) Duties: Respond to inquiries from potential clients and serve as a resource for general case acceptance questions. Collect appropriate information and provide concise summary (both written and verbal) and accurately enter the information in the case management system. Field incoming help requests from potential clients via a variety of intake channels (phone, walk-up, internet, email, etc.). Maintain solid coordination and communication with Unified Intake team and immediate supervisor. Conduct efficient, detailed pre-acceptance screening assessments, while ensuring proper boundaries are maintained. Remain knowledgeable of community resources so as to refer clients appropriately. Serve as a liaison between the client and attorney. Perform other duties as assigned by the Executive Director, Deputy Director, Associate Director, and the Supervisor of Unified Intake. Comply with all regulations, grant requirements, and internal operating and personnel policies. Offer high quality legal assistance to clients. Instruct clients on how to complete legal tasks. Conduct legal research and factual investigation needed to adequately perform the tasks undertaken on behalf of clients. Follow policy and procedures when conducting intake and assisting callers and clients with legal assistance and advice. Comply with all regulations, grant requirements, and internal operating and personnel policies. Ensure that all client, project, and computer files are maintained in an orderly manner. Embrace and support overall mission, standards, policies, and confidentiality requirements. Ensure that all Transactional Legal Assistance appointments and deadlines are calendared and timely executed with sufficient time dedicated for management’s approval of legal documents. Perform other client advocacy and state support duties as assigned by the managing attorney or senior management. Record of consistent professionalism and courtesy at the highest level when communicating (verbally and via email) and when working with other staff, clients, other Legal Aid programs, governmental and funding entities, and the public.
Qualification and Experience
Qualifications: JD Degree. Licensure by the Supreme Court of Texas for 2+ years. Recent operational experience in obtaining Occupational Licenses ("Essential Need Licenses") for clients within the past 2 years. This includes drafting and filing of petitions to obtain Court orders to submit to the Department of Public Safety to ultimately issue the Occupational Licenses, as well as appearing in court on behalf of clients for the related matter. Record of consistent compliance with office procedures. Experience using Microsoft Office products and other software to be used to support relevant business/industry data analysis. Ability to deal tactfully with clients, visitors, government agencies, and the general public. Able to take initiative, multi-task, work well under pressure, and complete required assignments in a timely fashion. Must have basic telephone and computer skills and be willing to learn new computer skills. Ability to provide intake services fluently in English and Spanish is strongly preferred. Demonstrate knowledge and expertise of the law and legal system. Demonstrate proficiency with TLSC’s case management system, Adobe software, Microsoft Office software, social media tools, and the ability to learn new technologies to carry out job functions. Demonstrate consistent ability to comply with office procedures. Maintain the highest ethical standards as a member of the State Bar and the ABA Standards for Civil Legal Services Providers and stay current with changes to the law. Maintain the highest level of professionalism and courtesy when communicating (verbally and via email) and when working with other TLSC staff, clients, other Legal Aid programs, governmental and funding entities, and the public.
