Legal Secretary
The candidate will be responsible for: Assist Assistant Attorneys General and Paralegals with jurisdictional and permanency matters, contested hearings, termination of parental rights cases and guardianships; Maintain calendars of court hearings or dates, document due dates, filings requirements, court appearances, travel, meetings and related activities; Transcribe legal documents and correspondence. Determine needed court jurisdiction and format. Type, proofread and correct draft documents for review by legal professionals; File and organize documents in physical and electronic case files; Assist in the preparation of legal documents, such as summons, orders, and certificates of service; Schedule trials and hearings with court staff, schedule depositions and pretrial witness interviews, as well as internal case staffings; Monitor and maintain case-related information and court and department-driven deadlines using the agency’s case management system; Prepare and proofread legal documents and correspondence for attorney signature; File court documents with the appropriate court using the court eFiling system; Coordinate service of legal documents; Contact county, state and federal agencies to gather information; Provide back-up to division staff as assigned; and Train section staff as assigned. Should have 2 years of clerical/secretarial experience which includes at least one year as a legal assistant or secretary for an attorney or judge or performance of legal support duties (such as preparing legal documents, maintaining legal records or researching legal information). Experience must include proficiency in word processing software. College coursework or training in Office Technology that included courses in legal terminology and legal office procedures may substitute for up to 1 year of the general clerical/secretarial experience. Experience managing calendars for attorneys or court officials desired. Experience independently managing a large caseload (150+ cases) preferred. Experience working in a litigation environment is a plus. Knowledgeable in legal terminology and proceedings beneficial.
