Legal Assistant (Paralegal)
The candidate will be responsible for: Prepares and disseminates/files various types of legal documents and routine correspondence for the City Attorney. Documents and correspondence include, but are not limited to liens, certificates of satisfaction, deeds, warrants in debt, petitions, orders, pleadings, motions, notices, subpoenas, transcripts, etc. Assist City Attorney on legal matters which includes, but is not limited to managing documents, exhibits, witnesses, court imposed deadlines, court ordered procedures, and calendaring of these deadlines, hearings and trials. Takes and transcribes dictation in the preparation of correspondence and legal documents, such as contracts, franchise agreements, deeds and easements for the City Attorney. Conducts legal/historical research and title searches for the City Attorney and in response to City Council and City Department inquiries and requests. Responsible for creation and maintenance of filing / records management system, receiving, screening and processing telephone calls, making copies, sending faxes, processing mail, calendar management, tracking deadlines, and other routine administrative functions. Makes necessary arrangements for meetings, hearings, and depositions, including issuance of notices and subpoenas, etc. Assists with office budget for the City Attorney's Office. Administration of the Hopewell Law Library; responsible for ordering books and placing subscriptions; processing purchase orders; and reconciling law library funds and expenditures. Serves as secretary to the Law Library Committee. Performs duties as assigned. Must have Associates degree in related field and considerable administrative legal experience (at least 3 years) or equivalent combination in education and experience. Paralegal or legal assistant certificate preferred. Must have thorough knowledge of organization, and department policies and procedures. Must be proficient in Microsoft Office Suite.
