ProfilePractice Assistant, Real Estate Duties: Support the delivery of quality legal services to clients. Completing technical and clerical tasks. Provide general assistance in coordinating transactions from inception to closing. Support attorneys and paralegals of all levels in the formation of various business entities including LLCs and corporations. This includes reserving company names, preparing organizational documents, obtaining EINs and registering companies to do business in foreign jurisdictions. You will assist with the organization of documents for transactions, organize documents for mailing, and proofread and redline documents. Collect, review, index, prepare and distribute required background and due-diligence materials and entity organizational documents. Index and perform document due diligence for transactional documentation including deeds, assignments, title, survey and authority documents, etc. Coordinate with title company and/or messenger service for timely delivery of all documents to be recorded and/or deposited in escrow. Assist with closing preparation and provide general assistance at closing, including preparing and assembling closing documents, preparing signature pages and maintaining closing checklist. Index and handle closing document files including deeds, assignments, title and survey documents, signature pages, officer’s certificates, conveyance documents and working group lists. Review executed documents to ensure proper execution. Conduct final page-checking of finished documents. Follow-up with client and other parties to the transaction post-closing to ensure delivery of completed documentation required for closing sets. Follow-up with companies to ensure delivery of recorded, filed and other original documents. Prepare closing binders, post-closing distributions and deliveries to client and other parties and involved party’s counsel. Maintain and coordinate records of closed files. Perform various administrative tasks and other related duties as assigned. Gain experience and develop a greater understanding of transactional work, more advanced projects may be delegated to them, such as pre-closing document preparation, closing and post-closing activities, as well as other transactional work.
Qualification and Experience
Qualifications: Bachelor’s Degree required with a strong academic background. Prior legal experience or the equivalent Practice Assistant experience is useful but not required. Prior office experience is helpful. Have flexibility and the ability to prioritize and organize tasks in a dynamic working environment. Be attentive to details, have flexibility with your work schedule and have excellent verbal and written interpersonal skills. Have the capability to become familiar with the procedures, terminology and documents relating to litigation and investigations. Ability to work in a forward-thinking working environment within a team environment. Advanced computer skills including proficiency in Microsoft Office. Strong time-management skills are required. Accuracy, attention to detail, strong organizational skills, strong written and oral interpersonal skills, and computer proficiency.
