Profile

Administrative Assistant / Corporate Paralegal The candidate provides operational, administrative, and paralegal support to the firm’s Legal/Compliance Department. Reports to the General Counsel and Corporate Secretary. Provides general legal operations support including project management, process management, troubleshooting, administrative tasks, and supporting other drivers of operational effectiveness for the team and the Department. Manages projects and prioritizes deliverables based on Department goals. Provides accurate and timely tracking and reporting for Department initiatives. Maintains Department files. Prepares, formats, proofreads, redlines, tracks, and maintains legal agreements, spreadsheets, memoranda, correspondence, meeting minutes, written resolutions, meeting materials, and corporate transactional documents including SEC documents. Assists the corporate secretarial function in the compilation and distribution of Board meeting materials through Diligent board portal; manages mailings of Board meeting materials; maintains hard copy and electronic corporate minute books. Manages Board schedules, planning calendars, and attendance reports and oversees material due dates to ensure timely deliverables. Manages onboarding for Board members and resource materials. Engages in significant interaction with Board members and senior management. Assists in the preparation of the Department's monthly report. Prepares expense reports, processes invoices, manages staff calendars, schedules meetings, and coordinates travel arrangements. Monitors third-party use of the firm’s trademarks and prepares license agreements and cease and desist letters. Maintains SharePoint databases. Documents/organizes existing operations and processes and, where appropriate, recommends ways to improve them in order to drive efficiency. Completes special projects on various subjects as assigned by members of the legal leadership.

Qualification and Experience

The candidate should preferably have a Bachelor’s Degree and/or a Paralegal Certification. 1-3 years of experience in a process-oriented function is preferred. High level of proficiency in Microsoft Office Suite applications (Outlook, Word, Excel, and PowerPoint) is needed. Experience with program or project management is a plus. Experience in a legal setting (law firm or in-house) is desired. Experience in developing and implementing legal team technology solutions (e.g., e-billing, contract and document management, approval workflow, e-signature, knowledge management, etc.) is ideal. Analytical and problem-solving experience is necessary. General database or data management experience is essential. Outstanding written and verbal communication skills are a plus. Must be a self-starter with a strong sense of responsibility and accountability. Must demonstrate dedication to providing high-quality work through superior attention to detail. Must be customer-service-oriented while meeting tight deadlines. Must be proactive and have a willingness to take action and achieve results. Ability to prioritize and manage time and internal client expectations and adapt to changing priorities is preferred. High level of professionalism, integrity, and discretion in handling confidential information and ability to work well with people at all levels inside and outside the firm is ideal. High degree of collaboration and cooperation with the firm’s colleagues worldwide is essential. Candidates from Atlanta area are preferred, but New York-based candidates will be considered.
