Executive Assistant The candidate’s responsibilities include: Supports the General Counsel Office in handling legal matters for the Hospital, prepare general correspondence and legal documents, assist with special projects; coordinate departmental administrative matters; maintain corporate records and all files associated with the office of General Counsel. Responsible for entering all data regarding estate matters. Determining follow up actions and providing status reports. Assist with preparation of charitable gift annuities. Draft committee agendas and reports. Serve as minute taker for various Board of Trustee committee meetings as well as the Annual Board Meeting. Record all corporate resolutions in master index and maintain corporate minute books. Maintain the law library; organize publications. Maintain COI-Smart. Order supplies for department. Prepare expense reports and makes travel arrangements. Schedules meetings, arrange meeting spaces and services. Manages Kronos timekeeping system for department. Supervise Volunteers assigned to Office of General Counsel. Conduct tours of the hospital as requested by Volunteer Services or on behalf of the Office of General Counsel. Education / Requirements: High school degree or equivalent required. College degree preferred. 8-10 years administrative assistant, executive secretarial experience or paralegal experience. Good interpersonal and communication skills. Excellent grammar, usage, and basic writing skills. General knowledge of probate proceedings and documents. Must offer computer skills including Microsoft Office Suite. Possess research and reporting skills.
