Legal Assistant/Office Administrator The candidate work for the law firm’s growing litigation practice, cooperating closely with staff litigation attorneys in administering/facilitating day-to-day business and legal operations. Candidates must be particularly adept at self-management, and possess a strong and essential propensity for errorless work product. The candidate with an ability to think and operate independently within established policy guidelines and ethical best practices will be afforded special consideration. Duties and Responsibilities: Management and regular auditing of firm electronic calendars. Management and regular auditing of firm project-tracking software. Management, organization, and regular auditing of “hard copy” client files and documents. Management and regular auditing of electronic documents and computer server files in a “paperless office” environment. Regular communication with clients and offices of opposing counsel. Scheduling appointments for staff attorneys, and avoiding calendaring conflicts. Proofreading and document preparation duties, such as scanning, faxing, mailing, etc. Limited client relationship management responsibilities. Limited financial transactions, deposits, paying bills, etc. Strict adherence to client and matter confidentiality requirements pursuant to applicable legal standards. Limited marketing, social media, and/or website curating. Coordinating staff attorneys and monitoring pending deadlines and project management milestones/tasks using software-based solutions. Light telephone duties. Light bookkeeping duties (reconciliations, etc.). Impeccable writing and proofreading skills ar critical. Spoken Spanish Language skills are highly preferred. Must have Limited accounting or bookkeeping knowledge, education, or experience. Should have familiarity with some or all of the following software: Adobe Acrobat, Microsoft Word, Microsoft Excel, Microsoft Visio, QuickBooks Online, Google Apps, Asana, or Westlaw.
