Legal Assistant – IP Duties: Support the Intellectual Property team, in specific the patent administrator on matters relating to the application for and maintenance of the global patent, trademark and domain name portfolios. Responsibilities include the maintenance and training of users of Emerson’s patent and trademark databases and act as super user in relevant IT systems. Assists with administration of the patent and trademark management systems. Assists with implementation of new patent management software. Monitors incoming correspondence and verifies data records. Communicates and assists the patent and trademark coordinators, law firms and corporate staff regarding database issues and policy compliance. Assists with the set-up of new user accounts; trains new users. Sets up, maintains, and manages businesses and business units within the system. Works with Emerson IT and database suppliers’ teams to report and resolve functional issues. Prepares PowerPoint summaries of patent filing activity. Assists with the administration of the annuity payment system. Sets up new user accounts; trains new users. Assists in resolving annuity issues presented by patent coordinators, law firms and annuity services. Assists with new business unit conversions to the annuity service provider and initiates corrective actions. Maintains records in accordance with s record retention policy. Processes acquisition and divestiture IP activity. Assists with specific IP related administrative tasks related to corporate restructuring, acquisitions and divestitures. Compiling patent and trademark schedules, reviewing files, incorporating/removing appropriate patent data in the patent management system and verifying ownership data for affected patents and applications. Acts as super user with extensive user knowledge on applicable IT systems. Provides general user support to law department colleagues on Microsoft Office applications as well as on Legal technology used by the IP group or other departments in the Legal Function. Participates in relevant initiatives aiming at optimizing productivity and service delivery by embracing and utilizing digital technologies.
Qualification and Experience
Requirements: A certificate in paralegal studies or 2+ years of college is required. Some experience working with patents and trademarks is desirable. Experience with a corporate patent management system such as Anaqua would be very beneficial. Excellent written and oral communication. Excellent Microsoft Office User skills (Microsoft Office Specialist certification of advantage). Organization and prioritization skills. Ability to research (both web-based and traditional). A high level of attention to detail and accuracy.
