Real Estate Legal Assistant, Construction and Development The candidate will screen and direct various communications, including answering and directing incoming calls, setting up conference calls, etc. Will assist with calendar management, travel, and meeting arrangements. Maintain various company databases, contacts, and filing systems. Download, organize and distribute research from various websites and online research tools. Contract management to include but not limited to: draft relevant correspondence, follow up with various team members regarding status of in process documents, prepare federal express packages. Process project documents for signatures and procedures. Provide administrative support to outside counsel with various real estate trasactions. Prepare and submit expense reports .Review, track and submit department invoices and assist with AR and AP tracking. Draft various correspondences for analysts, as requested. Greet visitors and determine whether they should be given access to specific individuals. Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution. Perform general office duties such as ordering supplies and maintaining records management database systems. Experience supporting teams of high level leadership teams or construction and development professionals is highly preferred. Bachelor’s Degree and/or certificate from appropriate paralegal accreditation program is preferred. Should have 3+ years of paralegal/legal experience at law firm or in-house, including 1+ years of prior experience focused on Real Estate law or experience in a support function in the multi-family construction and development industries. Proficiency with Microsoft Office applications (Outlook, Word, Excel, Project, PowerPoint) is needed. Must be able to communicate effectively with coworkers, contractors, superiors, professional trades, e.g. architects, subcontractors, property operations.
