Legal Assistant Duties: Processes and ensures prompt payment of legal invoices and evaluates new invoicing solutions. Manage spreadsheet of all legal and compliance vendor matters. Analyze legal spend and discount monitoring and reporting. Performs litigation support for digital safes and E-discovery management, legal holds and class discoveries, and records and vendor management Responsible for managing Worksite/iManage in matter creation. Utilizes a variety of Microsoft applications to develop and maintain reports, organize and maintain data, create presentations, and perform related miscellaneous projects. Strong working knowledge of Microsoft Excel, PowerPoint, Outlook and Word is required. Manages complete calendar of meetings, commitments, events, travel plans and expense reports while proactively anticipating and resolving scheduling conflicts. Exercises good judgement and discretion in identifying and safeguarding all matters of a confidential and highly sensitive nature. Authors documents on follow-up issues or correspondence to ensure that respective audiences are aware of current activities, updates, deadlines or information specific to their requests or projects/tasks. Assists in organizing and managing activities, projects and resources including assessing and determining priorities within the department. Performs various clerical duties including photocopying, filing, ordering supplies and forms, keeping records and faxing. Acts as a department point-of-contact with considerable contact with customers, business clients, and other senior professionals throughout the Athene organization. Performs full administrative support functions including routine correspondence, notarizing documents, preparing detailed reports, reviewing and processing legal invoices, updating phone lists and e-mail lists, sending/receiving/processing mail and emails, and performing general fax/copier maintenance, schedule and coordinate meetings, appointments and travel schedules. Assists in preparing weekly, monthly and/or quarterly reports, and/or meeting materials. Assists with projects and perform other duties and functions as requested.
Qualification and Experience
Qualifications: High School degree required, Bachelor’s degree preferred. 1+ years of legal administrative support experience is required preferably in a corporate environment supporting senior executives. Project management experience is a plus. Experience with MS Office products including Outlook, Word, Excel and Power Point is required.
