Legal Assistant II or III (DOQ) Duties: The candidate will perform a variety of routine and complex clerical, administrative and legal secretarial work in support of the County Attorney's office. Legal Assistant III will act as Team Lead. Legal Assistant II: The candidate under close supervision, uses computer and software applications to accurately type and edit basic correspondence; enter data; retrieve data; search databases; create documents; and send emails. Prepares and files with the court routine contracts and legal pleadings, such as complaints, motions, notices, subpoenas, leases, deeds, agreements, resolutions and correspondence. Processes various documents, ensuring that all necessary forms are complete and accurate. Answers and routes telephone calls: appropriately greets caller, assesses situation. Takes accurate messages and completes transaction. Assists the public and/or employees at front counter: appropriately greets visitors; answers routine questions; locates documents; fills out forms; makes copies. Displays a clear attitude of customer service. Processes incoming and outgoing mail. Prints, copies, assembles, distributes and files documents and maintains files. Interacts with other Offices and Departments and outside organizations to obtain and provide information. May prepare and arrange for publication of agendas and legal notices. May perform hand deliveries. May coordinate servicing of court documents. Drives vehicle to perform one or more essential functions. Reviews all work products to ensure highest level of quality. Performs other duties of a similar or related level as necessary or assigned. Prepares complex contracts and legal pleadings such as briefs with multiple case law references and/or numerous legal citations. Prepares summonses, notices of hearing and notices of a change of setting. Arranges and follows up on service of process and publication of legal notices. Creates spreadsheets. Makes suggestions for improving and updating filing system. Assists in preparation of exhibit and attorney trial notebooks. Assists in preparing materials for BOCC meetings. Assists in preparing monthly invoicing for the Department of Human Services. May file pleadings electronically with the courts. May assist in scheduling of depositions. May assist in the development of legal forms. May assist in creating PowerPoint and other formal presentations. Performs other duties of a similar or related level as necessary or assigned. Legal Assistant III: Under minimal supervision, performs all essential functions of the Legal Assistant II. Performs highly complex and detailed clerical, administrative and secretarial duties to assist paralegal and attorneys in hearing and trial preparation. Processes complex legal documents, such as contracts and briefs. Schedules depositions and prepares exhibit and attorney trial notebooks. Composes correspondence, memoranda, legal pleadings and other materials requiring independent judgment as to content, accuracy and completeness. Interacts with other Offices/Departments and outside organizations to obtain and provide information. Cross-trained in all specialty areas; backs up paralegal/office manager as needed and assigned. Assists in routine legal research. Assists in organizing, locating and compiling of exhibits. May perform legal research online, using legal program such as WestLaw. May assist in analyzing current paper documents for scanning or discard. May assist in administering payroll, payables and checks for deposit. May assist in registering employees and providing travel arrangements for training classes. May assist in ordering office supplies and maintaining office equipment. May act as Team Lead, assisting Supervisor in: prioritizing and scheduling work for day-to-day operations; providing information for staff evaluations and appraisals; reviewing time cards and monitoring attendance; training and checking the work of staff and any other temporary or part-time clerical or administrative workers. If acting as Team Lead, provides motivational atmosphere conducive to high-performing individual and team accomplishment and ensures that team meets goals and provides highest level of quality and service. Drives vehicle to perform one or more essential functions. Performs other duties of a similar or related level as necessary or assigned.

Qualification and Experience

Qualification: Legal Assistant II: The candidate must have high school diploma or equivalent with further specialized education or training in legal secretarial practices and procedures and office practices and procedures. Must have 2+ years experience in legal environment; or an equivalent combination of government, legal and secretarial experience. Highly proficient in relevant computer software application is essential.

Legal Assistant III: Must have high school diploma or equivalent with further specialized/advanced education or training in legal secretarial practices and procedures and office practices and procedures. Must have 4+ years experience in legal environment performing advanced legal assistant duties and/or some paralegal duties; or 3+ years experience at a Legal Assistant II level in a County Attorney’s Office; or an equivalent combination of government, legal and secretarial experience. Highly proficient in relevant computer software applications.

Must have Knowledge of: Relevant Federal, state and local laws, rules, regulations, codes and/or statutes; Practices and procedures specific to a legal office; Modern legal office processes and procedures; Keyboarding, data entry and word processing skills; Transcription from verbal dictation records. Must have Grammar, spelling and punctuation. Relevant computer hardware and software applications is essential. Basic math skill is essential. Must have ability to Speak, read and write the English language and Communicate effectively verbally and in writing. Type a 65 WPM is essential.


Legal Assistant II: Should properly cite legal authority.

Legal Assistant III: Should be E-file legal pleadings to State and Federal Court and Conduct routine legal research online using legal research program such as WestLaw.
