Legal Administrative Assistant/Paralegal DUTIES: Provides complex administrative support to law firm attorneys by preparing and managing documents, maintaining schedules and calendars, arranging and confirming appointments, and serving as a liaison with internal and external contacts. Answers phones, takes messages, screens calls and greets office clients and visitors. Uses appropriate telephone etiquette, routes calls using independent judgement and researches issues as needed to provide and ensure follow-up. Drafts legal correspondence for attorneys and staff from brief notes or verbal requests. Organizes and assembles complex legal and other documents required for briefs, responses to state and federal agencies and subpoenas. Checks mailings to ensure that all relevant parties are included. Assists with property cases by performing title searches to determine ownership and lien status of properties. Prepares deeds, mortgages, title abstracts, legal descriptions and related documents. Assists with probate cases by meeting with clients to obtain information necessary to draft estate planning documents. Drafts will and trust agreements and prepares and files related documents as necessary. Gathers and inputs data and maintains established databases and document management system. Maintains physical and electronic files and information in accordance with accepted legal practices. Processes sensitive and confidential information with the utmost judgement and tact, recognizing any legal privilege issues, time constraints and other implications. Reads, researches, reviews, verifies and routes correspondence, reports and legal documents. Researches and collects information needed to complete project tasks and reports. Participates in cross-training efforts with other support staff and ensures coverage for absent staff members. Communicates and obtains information, following up on delegated assignments and knowing when to act and when to refer matters to attorneys. Documents and tracks attorney billable time and reimbursable expenses, preparing invoices and tracking payments. Maintains office supplies by checking stocks, placing and expediting orders and evaluating new products. Ensures operation of equipment by completing preventive maintenance requirements and calling for repairs. Updates job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks and participating in professional organizations. Performs other duties as assigned. Qualification and Experience

QUALIFICATIONS: Associate’s Degree or equivalent experience. 3+ years of Administrative Assistant experience in a professional office setting. Advanced proficiency using a personal computer and Microsoft Office applications. Must have a current driver’s license and be able to pass drug screen. DESIRED: Experience working in a legal setting is highly preferred. Experience researching and reading title opinions is highly preferred. Ability to converse bilingually in English and Spanish is preferred.
