Legal Secretary
Duties: Assists with all aspects of legal work in the City’s Law Department, primarily but not exclusively on the civil side of the office. Scheduling appointments and meetings, docketing hearings and other case management dates and maintaining a departmental calendar; preparing pleadings, briefs, motions, memoranda and contracts; assisting with processing and responding to public records requests; securing copies of regulations, statutes dockets and case documents; drafting basic legislation and agendas; creating, organizing and maintaining updated files for cases and projects; and managing correspondence and communications for the department and its attorneys. Schedules appointments and prepares calendar, reports, minutes, agendas, communications, and other documents and correspondence. Represents the department to City staff, the public and elected officials via telephone, e-mail, written and personal contact. Prepares litigation documents including pleadings, motions, briefs, and discovery documents. Prepares some basic legislation (ordinances and resolutions) and basic contracts, for review by departmental attorneys. Reviews requests for legal services and coordinates responses with internal clients and attorneys as well as the public. Handles a variety of confidential materials. Transcribes dictation. Maintains regular attendance and punctuality. Performs other similar duties as assigned.

Qualification and Experience

Qualifications: Associate’s degree in a related field and 3 years of responsible experience supporting attorneys in a department or firm; or, an equivalent combination of education and experience. Knowledge of: Customer service. Legal principles, terminology and document processing/preparation. Basic civil court case management procedures and processes including basic pleadings, motion practice, and discovery. Modern office procedures, programs, methods, and equipment. Good filing procedures and practices. Word processing and proofreading skills. Basic research techniques. Calendar management principles and practices. Familiarity with criminal prosecution process a plus. Skill in: Computer use and applicable software including Microsoft Office Typing/word processing, proofreading and spreadsheets/data entry Transcription of dictation Ability to: Maintain confidentiality. Work in a civil, polite and professional manner as a member of the law department team, sometimes under intense pressure and time constraints. Comprehend laws, regulations and legal concepts and processes and perform basic legal research when needed. Manage multiple assignments, assign proper priorities, and work with sometimes minimal supervision. Maintain organized files, both electronic and paper. Work independently while exercising sound judgment and discretion. Communicate clearly both verbally and in writing.
