Executive Assistant - Legal
Duties: Provide administrative support (including specialized legal support) for General Counsel and Legal Department attorneys. Perform highly responsible, confidential, and complex secretarial and administrative duties for the company’s attorneys. Serve as liaison between company’s Legal Department and operational divisions, outside agencies, and the general public. Serve as a buffer and liaison between Legal Department and company leadership, internal divisions, and external contacts (including employees, consultants, vendors, and policy holders), reducing administrative burden of Legal Department attorneys. Screen internal and external visitors and phone calls. Provide assistance to telephone callers. Answer questions and responds to escalated requests and complaints. Prepare, track and document Legal Department correspondence and complex legal documents including reports, presentations, and spreadsheets. Type and edit from general direction, rough draft or dictation, often under short deadlines, material involving the use of legal and related specialized terminology ensuring correct grammar, spelling, and format. Material consists of agreements, briefs, opinions, letters, memoranda, and other documents pertaining to legal matters ensuring that all attachments, exhibits or enclosures are intact before distribution. Maintain departmental calendars for attorneys and assigned staff. Schedule and arrange meetings, conference calls and appointments. Analyze invoices, expense statements, check requests, and other financial documents to determine accuracy and legitimacy prior to presenting for sign off. Maintain departmental budget and variance reports. Responsible for file and electronic document management for the Legal Department. Receive and route daily mail for Legal Department. Responsible for outgoing items including mail, fax, or arranging for delivery of legal correspondence. Coordinate travel arrangements including flights, lodging, and transportation. Perform other duties as assigned.

Qualification and Experience

Qualifications: Associate’s degree in a business related field or equivalent, related work experience. 3-5 years' experience supporting executive level management and/or partner-level attorneys Or, equivalent military experience. Preferred: Bachelor’s Degree in a business related field. 2-4 years' basic accounting experience. Experience in a lead or supervisory role. Advanced working knowledge of executive level secretarial support practices and procedures, legal terminology and legal processes. Advanced interpersonal and communications skills including the ability to address a wide range of audiences. Knowledge of legal terminology, procedure and document formats. Advanced MS Office Outlook, Word, Excel and PowerPoint skills. Ability to handle highly confidential and time sensitive information. Ability take and transcribe dictation.
