Legal Secretary Duties: Serves as a key adjunct for the Office of the General Counsel Valley Operating Unit clients, providing direct professional secretarial support to the VP Regional Counsel, Assistant General Counsel and Counsel Regional Operations - Valley Operating Unit, of the Office of the General Counsel (OGC). Contributes to the effective implementation of major strategic initiatives brought forward and given the authority and autonomy to develop and implement strategies intended to resolve issues and complete projects. Initiate projects that improve productivity for the Team. Performs a wide variety of office functions such as typing correspondence, including letters, memorandums, contracts and reports generated by the Team. Assembles and distributes documents to ensure a smooth and efficient flow of work within the office. Performs other department support duties as assigned. Complete routine tasks within normal job assignments. Makes those day-to-day decisions required to perform principle accountabilities. Calendaring changes, dissemination of information, format changes on documents, etc. Making decisions regarding principle accountabilities; all budgetary and work schedule issues are referred to Vice President, Regional Counsel. Maintains a close, positive working relationship with other secretarial positions within the organization as well as all members of the OGC. Perform effectively, considerately and professionally when dealing with other contacts that may include board members, senior management team members, attorneys, paralegals, and other individuals representing Sutter Health affiliates, law firms and external clients. Many of these working relationships are associated with the exchange of documents, information, correspondence and calendaring meetings.

Qualification and Experience

Qualifications: A High School Diploma required. A legal secretary certification desired or equivalent years of experience. Experience as a Legal Secretary or experience that has fostered the development of advanced secretarial skills within a healthcare organization or law office is required; the ability to perform intermediate level legal research is required; and advanced word processing skills and demonstration of proper formatting of contracts and other legal documents are required. This type of experience is typically acquired in 2 years of progressive experience and is desired. Excellent communication skills, both verbal and written, are required as well as excellent knowledge of the English language, including correct use of spelling, grammar and punctuation. Beginning level legal research skills and understanding of distinctions among legal documents are required. Basic legal terminology is required. Knowledge of healthcare law is preferred. Thorough knowledge and understanding of the organization, functions, and policies and procedures of Sutter Health are also preferred. Typing speed of 65 wpm is required. Diplomacy and excellent guest relations in the face of atypical situations are required. Prior proficiency and comfort using a variety of computer software and computer e-mail systems are required, preferably Microsoft Word, Access, Excel, PowerPoint, Delta View (document compare program), Microsoft Outlook and TractManager. Must possess ability to diplomatically investigate sensitive facts and detailed procedures. The candidate must demonstrate exceptional organizational skills and the ability to balance numerous priorities at a given time. Must be detail oriented, flexible, self-directed and be able to work with highly confidential information. The ability to work independently and establish workflow priorities with minimal supervision is required. Additionally, the candidate must be able to compose letters, draft memoranda, provide accuracy in proofing and editing documents and complete projects in a timely manner.
