Law Office Assistant I (PCN 03-0114) Duties: The candidate will prepare legal documents from typed or handwritten notes, recorded tapes, machine transcription, or computer generated in draft and final form in accordance with deadlines, court rules, and prescribed department formats and requirements. Such documents include legal pleadings, briefs, regulation, legislation, and correspondence. Will edit, proofread, and revise documents for correct date, formatting, caption, syntax, punctuation, grammar, and spelling. Date stamp, label, notarize, scan, and copy documents. Arrange for service of legal documents to appropriate parties. Schedule depositions, pre-hearing conferences, party planning meetings, and teleconferences. Maintain logs, trial calendars, and manage case files deadlines. Set up a tickler reminder system for time sensitive activities such as pleadings, trials, hearings, motions, oppositions, discovery requests, conferences, and dispositions; remind staff of upcoming deadlines. Open and close case files. Provide general administrative support for the section, processing incoming and outgoing mail, ordering supplies, coordinating service on office equipment, and processing invoices for payment. Filing and all elements of physical file maintenance.
Qualification and Experience
Qualification: The candidate should have 1+ year of experience that includes clerical tasks (such as preparing correspondence or reports, filing, entering data, receiving payments, or maintaining logs) and frequent contacts requiring professionalism (such as with clients, professionals, business representatives, managers, etc.). Post-secondary education from an accredited college is substitute for the required experience (3 semester hours/4 quarter hours equal one month) i. Technical Certification in a business support career area (such as administrative office technology, business and marketing management, entrepreneurship, office assistant, etc.) or legal support career area (such as paralegal, legal assistant, legal secretary, criminal justice, etc.) is substitute for the required experience.Strong computer skills utilizing Microsoft Word, Excel, and Outlook is essential.
