Planned Giving Coordinator The candidate will serve as Planned Giving Coordinator with internal and external constituents, including donors to The firm Foundation. Will support the Philanthropy department’s planned giving program, including bequest promotion, the donor-advised fund, Gift and Estate Planning Professionals program, and life income agreements. Support the Manager of Gift Planning as requested. Enable the cohort to run smoothly and seamlessly while Manager of Gift Planning and Gift Officers are traveling or out of the office. Support the coordination, development, and implementation of bequest initiatives, including the cultivation and stewardship of donors and surviving spouses. Cultivate Paul Harris Society members who express interest in building a firm legacy. Track data on commitments and outright gifts to the Endowment. Run WW expectancy report (quarterly and as needed). Run widows reports and update (as needed). Track growth of net assets and commitments. Run and compare bequest data with Major Donors, Annual Giving histories, benefactors, age demographics, etc. (as needed). Support the administration of the Gift and Estate Planning Professionals (GEPP) program including internal documentation, reporting, external promotion, internal procedures, and individual relationships. Enter new subscribers in NetForum and Raiser’s Edge. Send welcome message to new subscribers. Run GEPP list totals, track goals by country, district and gift activity (Annually). Track GEPP webinar activity (as needed). Under the supervision of a planned giving gift officer (PGO), prepare illustrations for life income agreements (LIA) using PG-Calc software and letters in support of planned giving solicitations. Prepare post-gift correspondence and gift administration once a life income gift is received. Maintain records of planned giving growth and planned giving prospects on a regular basis. Responsible for the proper and complete entry of gift information in Raiser’s Edge. Run LIA activity report (quarterly). Run Open proposal and sample illustration reports for PGOs (October and April). Prepare Charitable Remainder Trust (CRT) spreadsheet (February). Prepare Request for Proposal and monitor responses (Every three years +/-). Monitor Charitable Gift Annuity (CGA) program health in conjunction with Finance (Annually). Prepare CGA registration materials for regulated states (Annually). Prepare Illinois Trust Annual Report filings (Annually). Prepare Trust tax signatures (Annually). Prepare Pooled Income Fund (PIF) Annual report (March). Prepare letters for Deferred CGA's (bi-annually). Handle the closure of LIA gifts upon the passing of the surviving income beneficiary (as needed). Prepare LIA Executive summary (bi-annually). Run analytics on PGO gift activity - newsletters, trainings, Institutes, and travel. Assist in preparing sample illustrations (as needed). In conjunction with the Senior Planned Giving Officer, the Coordinator is responsible for preparing and distributing annual donor communications including: Promotional blurbs for DAF and CRT statements (quarterly). Letter to CGA donors (January). CRT overview (January and July). Letter to CRT donors released in conjunction with annual valuation from custodian bank (March). Report to PIF donors (May). Assist the planned giving specialist in coordinating the quarterly printed and electronic publications of the Visions newsletter, including the preparation of materials, responses, and reporting of results. Support building the firm Foundation Endowment to $2.025 billion by 2025 by pulling data and sharing resources with donors and volunteers, including updated materials, promotions, possible event planning, etc. Gather data to identify target segments, market trends, and global outreach opportunities. Provide logistical support for Manager of Gift Planning’s travel, including gathering information, scheduling meetings, and preparing presentations for face-to-face donor meetings, major gift solicitations and other firm events. Provide daily phone and email coverage for Planned Giving section. Review the planned giving and legacy email inboxes on a daily basis and respond accordingly. Office correspondence, telephone, mailings and general clerical work required. Assist in the preparation of Trustee items and committee materials as needed. Monitor financial transactions and transfers of funds for all gift types. Support the Manager of Gift Planning as requested. Other duties as assigned. Prepare data for TRF Annual Report, Endowment Fund Report and ARO (Annually). Prepare "Value of Gift Planning" report (as needed). Prepare data for Trustee/FN committee meetings. Assist in preparing the budget (October). Monitor AINOC for stale Visions actions (quarterly). Prepare Birthday card list (monthly). Monitor and route PG inbox. Travel expense reports. Special Payment Authorizations. Order supplies. Monitor travel requests. College degree required. Must have outstanding oral and written communication skills. Should be able to prioritize, manage and organize multiple projects and tasks simultaneously. Computer competency with all Microsoft Windows software, database management, Raiser’s Edge, PeopleSoft and PG-Calc planned giving software, Netforum, etc. is required. Should have 2 years of administrative office experience, paralegal, or fundraising experience. Specialized knowledge in the tax economics of charitable giving and estate planning preferred. Strong proficiency in business intelligence analytics preferred.
