Conflicts Coordinator Responsibilities: Review conflicts submitted by secretaries or attorneys for accuracy and detail. Call attorneys and secretary if information is incomplete or unclear. Prepare, proof, revise and run daily conflict notices. Power user of conflicts database and New Business Intake software. Perform searches in conflicts database. Prepare/ Send reports on information found in the conflicts search to the designated analyst. Review/Quality control of all information in the NBI form including but not limited to the Conflicts Data page, the multi matter page and the engagement letter in accordance with Department policy. Ensure that all information is approved and/or corrected prior to sending NBI to Review of Documents. Responsible for documentation of all searches in the conflict database and clearance emails – preserving an audit trail. Maintain integrity of the conflicts database and ensure the data placed in the database is accurate. Run add a party conflict notices/Add all cleared party information from the notices within 48 hours. Run reports in conflict database. Ensure that all findings and potential conflicts are cleared or that Firm counsel is handling resolution prior to sending NBI to Review of Documents. Process all conflicts and requests for reports timely. Responsible for taking incoming calls and problem solving. Handle special due diligence projects for lateral hires, mergers and acquisitions or other projects as needed. Profile engagement letters and waivers in the Document Management System. Assist Department Manager in tracking the daily statistics. Assist Department in the testing of all new software.
Qualification and Experience
Requirements: Law school graduate, a plus. 1-3 years’ experience with legal conflicts or in a related legal field. 1-3 years’ experience as a legal secretary/paralegal. Experience in risk management, a plus. Knowledge of advanced searching techniques. Strong computer skills needed, preferably with relational databases. Must be able to function in a high volume, time sensitive environment. Must have problem solving skills. Strong customer service orientation with ability to respond quickly and positively to shifting demands.
