ProfileBusiness Intake Supervisor - Compliance The candidate will oversee all aspects of the duties of the dedicated Business Intake - Compliance team including final review of all engagement documentation, including retention letters, outside counsel guidelines, waivers, and other required documentation. Will also be responsible for establishing and maintaining information barriers related to business intake, including the distribution of memorandums and notifications using the firm's dedicated access management applications. Responsible for maintaining all engagement letter, waiver, and other Business Intake and Conflicts Department templates. Report to the Business Intake Manager. Under the direction of the Office of the General Counsel and Risk Management leadership, ensure the activities of the Business Intake - Compliance team align with the firm's risk management policies and goals, utilize industry best practices, and assist the firm lawyers in adhering to the business and ethical rules set forth by the firm. Deliver prompt results that take into account the unique needs of the attorneys and staff. Oversee issues related to staff hiring, personnel coaching and improvement, and termination. Review complicated and sensitive engagement letter and information barriers related to business intake and escalate appropriately for resolution. Work closely with other Business Intake Supervisors, Business Intake Manager and conflicts team to ensure coordination of systems, workflow and outcomes. Develop strong working relationships with attorneys, legal support staff and staff in other firm administrative departments. Oversee and assist with the final review and approval of all engagement documentation, including retention letters, outside counsel guidelines, waivers, and other required documentation. Establish information barriers using the firm's dedicated access management applications. Draft and distribute information barrier memorandums and notifications related to business intake, when required. Supervise daily team workflow to ensure timely completion of department responsibilities including reviewing for accuracy, thoroughness and completeness. Assist with development and delivery of all necessary training to attorneys and staff on the business rules, ethical rules, applications, processes, and policies associated with engagement documentation and information barriers related to business intake. In conjunction with the other Business Intake Supervisors and Business Intake Manager, identify staffing needs for the dedicated business intake team, including new positions, new hires, and terminations. Maintain all firm engagement, waiver, and other business intake and conflicts related templates. Maintain all Business Intake & Conflicts Department policies and related documentation. Organize training of new employees, including documentation updates, on-going training sessions, and scheduled peer review. Meet regularly with members of the team. Update and ensure accuracy of all process and procedure documentation related to the Business Intake - Compliance team. Recommend technology and process improvements. Oversee and support team's performance in all routine and complex functions that support the activities of the department, including but not limited to new business intake systems, firm-wide information barrier application, engagement letter management, SharePoint sites, and all department-wide administrative duties. Be available for urgent and confidential situations, including evenings and weekends. Be available 24/7 via mobile device. Work together with department management to deliver quarterly, annual and ad hoc, performance, management, statistical, and other reports. Four-year college degree is required. Advanced degree, J.D., or MBA is preferred. Should preferably also have 5-7 years of related experience, including engagement documentation review or similar process management/risk management experience required. Studies in areas directly applicable to the duties described above (e.g. business administration, project management, management, paralegal/legal assistant, finance) desirable. Prior supervisory experience and demonstrated leadership abilities is a plus.
