Executive Assistant The candidate will perform a wide-range of executive-level administrative support functions for the executive office and the Company’s external legal counsel. Administer and prioritize contract and vendor onboarding work flows beginning to end, including: Manage the approval and onboarding process for new vendors, contractors and consultants; Liaise with internal stakeholders and external legal counsel to review, negotiate and finalize agreements and contracts and address various legal issues; Maintain approved supplier documentation and lists and ensure timely, appropriate actions are completed for contract close-outs, extensions, and renewals. Administer and support key functions to ensure protection of the Company’s legal interests and intellectual property including: Liaise with internal stakeholders and external legal counsel to gather information to ensure timely, thorough and accurate filing of patents, trademarks, and copyrights; Coordinate the Company’s efforts to research, document and address infringements of the Company’s intellectual property; Maintain the Company’s corporate records and historical documents in an organized and secure fashion on and offsite. Implement/manage the Company’s records retention and destruction process. Liaise with internal stakeholders and external legal counsel to review contest rules and promotions and provide feedback. Liaise with internal stakeholders regarding demonstrator compliance issues and provide timely updates to management and external legal counsel. Attend demonstrator compliance hearings as requested. Work with external legal counsel to draft communications regarding legislative and regulatory issues. Update and maintain the document control library for current SOPs, documents, and forms including maintaining accurate listings of all current forms being utilized in all countries and initiating review of forms and legal documents as necessary for revisions and updates. Provide support required to maintain and revise forms/demonstrator handbook and policies for all markets. Working with external legal counsel as necessary to approve final documents, forms, policy changes, etc. Liaise with internal stakeholders and Executive Office Manager to elevate issues to external legal counsel and/or internal executive management. Manage business entity registration renewals. Provide process education to internal departments on key Corporate legal policies and requirements. Maintain strict confidentiality in all regards. Collaborate with the Executive Office Manager other executive assistants to provide support and coverage of PTO. Perform other duties and projects as assigned. Must have Bachelor’s degree or equivalent experience. Should have 5+ years of experience as a senior-level executive assistant or legal assistant in a corporate environment. Experience working in a DSA company preferred. Must be willing to obtain and retain a Notary Public certification and bond. Should have high proficiency with Microsoft Office Suite products including Excel, Word, and Outlook.
