Wealth Management Director of Administration The candidate ensures compliance and risk management policies, procedures, and controls are being adhered to and provides guidance to professional staff as needed. Coordinates departmental response to regulatory, audit, and compliance exams. Provides expertise, technical advice, and counsel on complex trust and fiduciary issues raised by professional staff. Provides Member Banks estate planning advice and support related to financial planning. Provides resources and essential support/oversight to Member Banks in the general administration of accounts. Develops and implements policies, procedures, and workflow that enhance the ongoing administration of HTLF WM accounts. Monitors and assesses the technical knowledge and skills of HTLF WM support staff and Wealth Advisors/Fiduciary Officers/Sales Associates at Member Banks. Provides training and development for new and existing HTLF and Member Bank Wealth professionals related to account administration and compliance matters. Coordinates the development and ongoing implementation of account acceptance process across HTLF Member Banks. Works with outside attorneys, co-trustees, accountants, and other professionals to effectively assist with the administration of trust accounts in accordance with the terms of each account’s governing document. Represents WM in legal matters, including engaging/interacting with outside counsel as well as collaboration with the HTLF Legal Department. Reviews and negotiates legal contracts, including client agreements, selling agreements, and vendor contracts where applicable. Participates in committees. Participates and/or Leads the WM Oversight Committee. Leads the WM DDR Committee. Participates in the WM Trust Committee. Other committees and leadership responsibilities as assigned. Completes annual E-Learning Plan and Bank Secrecy Act (BSA) training as assigned and keeps up-to-date knowledge of BSA as it relates to the job function. Performs other duties as assigned. Works with department staff on individual professional development and career development opportunities. Facilitates team members in creating individual goals and development plans that align with the department goals. Works with Heartland Financials’ Talent Acquisition team to identify and hire the most qualified and talented individuals to fill open positions. Provides information and on-going feedback to department staff regarding expectations and performance, salary adjustments and/or promotions. Addresses and resolves all performance concerns and issues in a timely manner. Prepares and conducts annual performance reviews within established deadlines. Directly supervises HTLF employees who support administration, fiduciary, tax, regulatory & compliance activities. Works closely with Member Banks to recruit, develop, and manage Wealth Advisors, Fiduciary Officers, and Sales Associates. Bachelors required and J.D. required. 10+ years of Trust/Administration or equivalent experience required. 5+ years of supervisory experience, preferably with a fiduciary and/or trust administration team required. Expert knowledge of the financial services industry, trust and investment products, risk management, fiduciary guidelines, and team selling required. Extensive knowledge and technical proficiency working with complex trust structures, wealth transfer strategies, legal issues, and fiduciary and tax planning trends required. Proficiency with State and Federal laws and regulations impacting the administration of trusts required. Strong presentation skills; both written and verbal required. Strong conceptual thinking, good ability to take a holistic and integrative view, and consideration for influence and impact on various levels within business required.
