Admin, Contract System The candidate will support the Company’s Contract Management System as well as provide support for the regional legal teams. Will partner with other departments such as regional operations, clinical staffing, human resources, payroll, managed care, contract revenue management as well as other Company Associates as necessary, to manage and direct the functions of the Contract Management System. Provide oversight of the maintenance of the Company's various agreement templates within the Contract Management System including, but not limited to, clinical employment contracts and professional service contracts as required by regional operations. Collaborate with the Company’s regional legal teams with a focus on all aspects of contract administration. Provide customer service to all Contract Management System users, including regional legal teams, regarding the use of the Contract Management System. Interface with the Contract Management System Administrators and Support Teams. Be the first point of contact for any database issues before escalation to Apttus team. Provide ongoing training education through e-mail, follow up phone calls, educational handouts, web demos, etc. as new users come onboard and as current users have issues. Help integrate additional firm departments into Apttus as these departments begin using Apttus for contract management and workflow.Maintain repository of contract files located within Contract Management System. Review and evaluate all data input on an ongoing basis to ensure data integrity with the system. Upload employment agreement templates and map specific terms to each Practice. Update and maintain standard contract templates as needed. Assist in the preparation of standard contracts using pre-approved document templates as needed. Oversee the management and monitoring of the contract review process by tracking contract from initial request through execution. Assist the Apttus team with loading legacy service, employment and acquisition contracts into Apttus, along with the related data. Work with Apttus team on all system development projects, operational workflow and new functionality required by users. Route/track contracts and legal documents to business teams. Manage contracts with respect to contract critical dates.Ensure executed final contracts and amendments are accurately entered into contract database. Maintain and facilitate access by regional operations to the current database of signed contracts on the Contract Management System. Support ad-hoc projects as needed. Recommend any necessary database modifications or reporting tools necessary to optimize data usage. Ensure that fully executed agreements are being activated within the Contract Management System. Conduct various employment, service and other types of contract audits as needed. Upload new acquisition service and employment agreements and related data. Maintain and track practices with performance metrics. Generate and maintain various standard and customized reports for regional management and legal teams.
Qualification and Experience
The candidate should have 6+ years’ experience as a system administrator/contract manager or paralegal using a Contract Management System – or equivalent combination of education and experience. Must have 3+ years’ experience with contract review and preparation in a legal environment. Proficiency required in MS Office (Word, Access and Excel). Must have excellent problem solving skills. Apttus/Salesforce experience is preferred. Technical knowledge of contract database systems and workflow is preferred.
