ProfileConsumer Protection- Legal Secretary I-III Duties: The candidate performs entry-level to complex legal secretarial work for the Office of the Attorney General’s Consumer Protection Division. Work involves providing legal and administrative support and maintaining communication with clients, attorneys, agencies, and the general public. Organizes, indexes, prepares, proofreads, edits and files legal and administrative documents. Assists in preparing, proofreading, and editing legal and administrative documents; and organizing trial and hearing materials. Assists in arranging interviews, depositions, and court appearances. Assists in compiling and entering data for charts, graphs, databases, summaries or reports as well as translate documents, complaints and other documents for litigation purposes. Assists in coordinating travel arrangements for legal staff and prepares or processes related paperwork and files. Answers the phone, providing general information or routing calls as appropriate and performs administrative backup duties as required. Reviews and processes mail for legal staff and schedules, maintains, and updates appointment calendars detailing events. Maintains record-keeping and filing systems. May check citations of statutes, case notes, and legal references. Legal Secretary II: All of the above functions for a Legal Secretary I PLUS:. Prepares, proofreads, and edits legal and administrative documents. May prepare statistical and administrative reports. May assist in preparing responses to legislation inquiries and open records requests. May assist with maintaining a law library. Legal Secretary III: All of the above functions for a Legal Secretary II. May assist in interpreting rules, regulations, policies, and procedures for the agency, agency staff, or the general public. May assist in the preparation of policy guidelines for legal and/or court services. May train others. Maintains relevant knowledge necessary to perform essential job functions. Attends work regularly in compliance with agreed-upon work schedule. Ensures security and confidentiality of sensitive and/or protected information. Complies with all agency policies and procedures, including those pertaining to ethics and integrity.
Qualification and Experience
Qualification: The candidate should have graduation from high school or equivalent. Must have general administrative, clerical or legal secretarial experience; may substitute thirty credit hours from an accredited college or university OR completion of legal secretarial training for experience [Copy of certificate required at time of interview. Knowledge of legal practices and terminology is essential. Must have skill in the proper use of punctuation, sentence structure, grammar and spelling; skill in handling multiple tasks, prioritizing, and meeting deadlines; skill in using a computer for word-processing and data entry/retrieval, skill in effective oral and written communication; skill in exercising sound judgment and effective decision making
Legal Secretary II:
Should have 1+ year full-time general administrative, clerical or secretarial experience; may substitute thirty credit hours from an accredited college or university OR completion of legal secretarial training for experience.
Legal Secretary III
Should have 2+ additional years of full-time experience as a legal secretary
Ability to proficiently read, write, and speak Spanish is preferred.
