Legal Admin. Specialist The candidate serves as a confidential secretary in the General Counsel Office performing a wide variety of secretarial and administrative tasks. These tasks include preparing documents and correspondence requiring knowledge of legal terminology such as contracts, briefs, policies, and pleadings. The ideal candidate would need to be highly detailed-oriented and efficient in working with attorneys to mark-up agreements, handling public record requests, legal research, responding to client queries by phone or email. Also responsible for carrying out routine aspects of data compilation, and conveying routine legal information under supervision. Accepts service of process for student records, employee records and medical appearance subpoenas, and processing the requests. Responsibilities constantly involved with and has access to confidential data and proprietary information (including collective bargaining, employee grievance and evaluations, patents and litigation matters) requiring utmost discretion and confidentiality. Provides general secretarial support to attorneys including working on complex contracts and other legal instruments, including legal memoranda, correspondence, responses to legal complaints and interrogatories. Assists in the creation of forms and documents dealing with litigation and independently prepares confidential standard correspondence from basic information provided by attorneys. This responsibility requires familiarity with the law library, vocabulary, forms of legal citation, and certain court documents and procedures, and the ability to work independently, prioritize tasks and to function at a high quantitative and qualitative level in the frequent times of crisis and tension in a law office. Serves as personal assistant to the attorneys by coordinating their daily and long-term schedules, and providing other necessary services to facilitate the efficient use of the attorneys' time. This responsibility includes the screening of requests for meetings, the coordination of arrangements for meetings, conferences and travel. The preparation, compilation and distribution of background material and agendas for meetings and conferences held or attended by the attorneys. This also includes the ability to judge importance and communicate priorities to the attorneys. The attendance of meetings and conferences for attorneys, and meeting with them to brief them or to be briefed on matters and developments pertaining to the office. Greets, directs and announces visitors. Routes or takes messages and return phone numbers, as appropriate, and uses good judgment in screening and re-routing these calls. Independently attend to visitors and callers requesting to examine and/or receive copies of statutes, rules, policies or other materials maintained in the office, and matters which he/she can handle. Copy, email or fax documents as necessary. Assists attorneys by independently responding to inquiries concerning the status of legal projects and other matters. Relays incoming messages and inquiries and outgoing messages and advice often involving highly confidential and/or complex legal matters. Researches and gathers information to respond to inquiries and to assist attorneys in developing reports, memoranda, correspondence, court pleadings, etc. In conjunction with the University's attorneys, assistance in program of review of and compliance with legal process and other requests for access to University records, including student records, employee records, and medical records. Accepts service of process. Prepares standard correspondence to handle such record requests as appropriate. Coordinates release of records. Performs other related duties as required. The candidate requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position.
