Legal Affairs Operations Program Manager
Duties: Responsible for managing the regulatory and governmental requirements for Parkland’s Nursing Homes; serves as the Matter Manager for Legal Affairs; leads departmental projects for Legal Affairs; administers the department’s matter management software and other applications; and develops, maintains, and reports on key department metrics. Ensures compliance with government and regulatory requirements for Parkland’s Nursing Homes, including coordinating activities of outside counsel and consultants, operational leaders, Parkland executives and Board members; anticipates and meets new and existing requirements; provides subject matter expertise regarding the relevant regulatory, licensing, and insurance programs. Matter Manager for Legal Affairs, including establishing all matters in the matter management system, assigning tasks, and ensuring legal holds are issued/released in a timely fashion; reporting on performance against key metrics; and create and program billing guidelines. Leads departmental projects, including determining objectives, project plans and timelines, and working collaboratively with department colleagues. Identifies project objectives, appropriate stakeholders and their interests, and steps to achieve objectives. Assists in developing and implementing new and improved processes and systems with the Legal department, which enhance efficiency. Resolves moderate to complex issues, and makes appropriate decisions regarding escalation. Fulfills department requests for data collection and reporting; monitors and reports on departmental KPIs, including performance against budget. Manages assigned departmental software application(s), responds to requests for data, trains all new internal and external uses, provides technical support, and acts as the departmental liaison to the software vendors.

Qualification and Experience

Qualifications: Must have a Bachelor’s degree in Business Administration, or a related field. Must have 6 years of progressively responsible experience in business operations or project management, preferably in a healthcare organization. May have an equivalent combination of education and experience to substitute for both the education and the experience requirements. Prefer a certificate in the paralegal field. Must score 80% or better on an Excel and Word test given. Must be highly organized, with a high level of attention to detail, able to to demonstrate both analytical and statistical skills. Must be a self-starter with the ability to work effectively as part of a team, and on an independent basis, demonstrating initiative in problem-solving. Proven ability to utilize available resources to achieve the intended results. Must have experience using databases and data review/analysis. Must be able to distill and present information effectively. Must possess good oral and written communication skills, strong tact and diplomacy skills, and the ability to communicate with all levels of employees including executive management and physicians. Must have proven time management skills, able to manage and appropriately prioritize multiple, simultaneous time-sensitive projects to successful completion, including meeting strict reporting, filing, and licensing deadlines.. Must be able to demonstrate flexibility and adaptability to changing workloads, utilizing creativity and persistence in attaining desired outcomes. Must be extremely proficient with Microsoft Office suite (Word, Excel, and PowerPoint), and very competent with Visio and SharePoint.
