Matter Intake Specialist
The candidate will review all new contracts/engagement letters provided by the legal department and/or other professional staff analyzing implications and obligations of contracts. Enforce the New Business Intake protocol to ensure new matters are set up accurately. Provide understanding and application of client billing guidelines for Experts and Billing staff. Accurately set up matters to reflect correct billing arrangement, bill site, appropriate taxes for international clients, and any invoice requirements, including e-billing, PO requirements, and budget information. Interpret contracts and set up matters to identify and flag appropriate information for Accounting to ensure appropriate financial statement recognition of revenue. Schedule, track, and report on monthly pre-determined, Fixed Fee Invoicing Schedules firm-wide. Maintain documentation of Matter Intake process and workflow. Enter rate exceptions for new matters. Create and maintain task code lists and apply them to matters as appropriate. Provide customer service to experts, professional staff, and the Accounting department.

Qualification and Experience

The candidate should have Associates and/or Bachelor’s degree from accredited college or university strongly preferred. Should have 5+ years of experience in a position utilizing similar skill sets. Strong analytical and reasoning skills – ability to understand how data interrelates and able to follow the logical progression of process and workflow. Must possess the ability to work under pressure in a fast, ever-changing environment without compromising accuracy and completeness. Dependable and able to work independently or as part of a team to complete work and maintain a positive and proactive attitude. Ability to think outside the box, multi-task while being proactive, anticipating affected parties, detail-oriented and heavy focus on accuracy while responding to ongoing, numerous requests, daily workload, and demonstrate effective control and follow through to completion. Ability to communicate with brevity & conciseness with a wide variety of individuals in high-level management, legal, and internal staff. Very strong organizational and time management skills. Legal and/or professional service experience required. Microsoft Office: Excel, Word, Outlook, PowerPoint, and additional experience preferred. Elite 3E or similar professional service financial & accounting platform. E-Billing Hub. Background in legal billing, conflicts, finance, data analysis is a plus. Knowledge of ASC 606 Revenue Recognition concepts is a plus. Paralegal certification preferred.
