Leasing Legal Assistant / Paralegal The candidate prepares and distributes lease proposals. Prepares leases, renewals, modifications, date change amendments, surrender agreements, and other miscellaneous legal documents. Scans and inputs data for lease file documents. Sends leases and other documents to tenants for signature using Docusign. Scans in final lease and renewal proposals to SharePoint. Generates appropriate documentation in support of renewal and new lease transactions. Prepares and processes all sub-leases/assignments/name change modifications/lock box agreements. Assists Leasing Directors, Executive VP and General Counsel with reviewing of lease/document comments and redrafting of documents, as needed. Assists in maintaining up-to-date and accurate reports. Completes all reports as requested by Supervisor. Files all correspondence and documents in respective files. Coordinates sign information gathering for full-service office tenants. Tracks move-outs, receives keys and makes sure relevant information sources are updated. Tracks move-ins and coordinates with relevant departments to deliver keys to tenants. Makes sure information sources are updated. Processes broker commissions on a timely basis in accordance with Olen commission policy. Runs credit reports and maintains log sheet. General departmental assistance: answers incoming calls, checks voicemail and distributes messages, restores supplies, assists with departmental filing. Coordinates with department associates to cover for lunch schedule, vacations, and personal time off, as needed. Assists the department with special projects, as needed. Must be proficient computer skills including Internet, Word and Excel. Leasing and/or commercial real estate experience is a plus. Must have Bachelorâ€™s degree (B.A.) from a four-year college or university. Should have 5+ years of related experience and/or training. Combination of both negotiable. Paralegal Certification or Legal Assistant Experience preferred.
