Labor Relations Assistant The candidate will provide administrative support to the Labor Relations Director and staff tasked with the responsibility of managing the labor relations program and administering the collective bargaining agreements. Will serves as the assistant to labor relations staff and provides technical, administrative support in the daily unit operations, disciplinary investigations, arbitrations, grievance processing, and other labor relations processes. Serves as the centralized point of contact for Hospital Labor Relations. Responds to routine questions. Establishes and implements internal office procedures, recommending changes in procedures or rules to facilitate effectiveness and efficient business operations. Manages Outlook distribution mailboxes, which are the primary sources for receipt of communication, workload, and correspondences for the entire office. Processes and routes time sensitive and confidential materials to the Director and office staff. Prepares correspondence, reports and other materials in a timely and accurate manner. Schedules a high volume of appointments and meetings that include multiple parties. Monitors and manages budget status and expenditures. Responsible for researching, compiling, documenting, tracking, and responding to disclosure requests. Provides case management by collecting, logging, and organizing factual information and documents. Performs complex assignments in MS Office Suite to prepare documents and reports as they relate to CBAs and case management. Manages disciplinary Notices of Discipline (NOD) as delegated by the Director and office staff to ensure efficient and timely processing of time sensitive and confidential, formal disciplinary letters. Submits all formal disciplinary letter drafts to the Director for review. Creates electronic file folders for all new formal disciplinary actions received and updates the LR database to include creating a link to the electronic file. Consolidates all relevant documents into one electronic PDF file utilizing estblished naming conventions. Enters all grievance information into the HRMS Grievance database. Coordinates scheduling of all evaluation appeal committee meeting accordance with the CBAs. Maintains and updates the labor/management schedule/agenda. Prepares and disseminates notification letters and the labor/management agenda. Prepares correspondence and reports to Hospital leadership regarding incoming grievances, improper practices, disciplinary request, status and disposition. Coordinates appointments, schedules meetings and arranges meeting locations for Director/Senior Manager, sends notices of meetings and prepares materials for same; takes minutes for distribution as directed; maintains confidential personnel and Labor Relations files. Receives incoming telephone calls; uses discretion to screen calls, answers inquiries and provides assistance; takes messages and records or relays information, as appropriate; uses good judgment in determining the urgency of any matter and responds accordingly. Provide outstanding customer service, and use positive interpersonal communicational skills in all contacts on the job knowing when and how to communicate with tact, poise patience and courtesy.
Qualification and Experience
The candidate should have BA degree. Must have 2 years of progressively responsible experience in clerical and/or administrative support. A minimum of 1 year's experience in an office setting is required. Ability to exercise professional judgment and work with sensitive materials while maintaining confidentiality is required. Decision making and problem solving skills is required. Intermediate level of expertise using MS Excel, to include the ability to: use advanced formulas, organize tables and worksheets, create and modify charts, analyze data using Pivot tables and charts, and insert and modify graphic objects in worksheet is required. Must have intermediate level of expertise using MS Word, to include the ability to: insert graphic objects and visual effects to a document, add tables to a document or convert tables to text, add watermarks, borders, headers and footers, use the word look up (thesaurus, dictionary), customize tables and charts, modify pictures in document, create customized graphic elements, and use templates. Must be proficient in the full range of Microsoft Office products with particular emphasis in Outlook, Word, Excel and PowerPoint. 1 year administrative support experience in Labor Relations/Human Resources and grievance processing is preferred. A college degree or certificate with a focus on business, human resources, social science is preferred. Professional experience using PeopleSoft Human Resource Management System (HRMS) is preferred. Demonstrated proficiency and professional experience reviewing/managing budget documents and information is preferred. Legal Secretary and/or Paralegal experience a plus. Health care experience is preferred.
