DEPARTMENT: Office of General Counsel
JOB TITLE: Paralegal
JOB LEVEL: Grade 11
STARTING SALARY: $48,638-$50,000

Serves as the Paralegal for the General Counsel. Composes correspondence to staff and members as required and processes and replies to General Counsel mail as needed.
Performs all administrative duties for the General Counsel, including word processing, dictation transcription, filing and recordkeeping, receiving visitors, and communicating with VFW staff, VFW members and general public to ensure the efficient fulfillment of the General Counsel’s duties and responsibilities.
Prepares correspondence, financial schedules, reports, outlines, speeches and PowerPoint presentations as needed, including typing legal documents.
Maintains and monitors VFW contract/agreement files. Prepares files and documents for new contracts, assures contracts have original signatures, and they stay current and in compliance with contract terms. Tracks and proofs incoming contracts/agreements (new and renewal) for consistent content and brings irregularities to the attention of the General Counsel.
Maintains and monitors VFW legal case files. Gathers legal documents, exhibits and pertinent correspondence for the General Counsel and ensures all time sensitive materials are documented and recorded.
Maintains and monitors VFW Trademark files. Prepares documents, gathers samples, and prepares correspondence for patent attorney ensuring all time sensitive materials are managed appropriately and are in compliance. Updates Emblem and Supply Department and other internal departments of new and obsolete Trademarks.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Position requires Bachelor’s degree and 5-7 years of directly related administrative experience in an executive office environment with legal emphasis. Paralegal certification and Notary Public certification is required.
Position requires excellent oral and written communication skills, exceptional organization skills, proficient secretarial skills and solid analytical skills to fulfill responsibilities, including a working knowledge of law and legal processes, accounting, finance, employee benefits and human resources. Confidentiality is essential.
Position requires superior human relations skills and time management skills, and the ability to effectively communicate both oral and written information to internal contacts and external contacts, including Council Members, Department and Post Officers, Commanders-in-Chief, members, outside attorneys, and leasing agent.
Working under pressure is necessary with multiple and sometimes immediate deadlines and the ability to handle multiple tasks simultaneously.
Position requires problem-solving skills. Requires the ability to prioritize work effectively and meet project deadlines. Requires familiarity with accounting and financial terminology. Requires understanding of finance and ability to learn organization’s structure.
Requires proficient computer skills in Microsoft Word, with advanced word processing skills, Excel, with spreadsheet and graphs including formulas, and advanced knowledge of Power Point and Outlook. Requires familiarity with legal terminology, contracts, leases and an exceptional vocabulary. Requires skills in legal research using Westlaw or Lexus Nexus.
Considerable computer usage to, answer correspondence, prepare PowerPoint presentations, reports, schedules and memos. Typical office environment most of the time. Light lifting of 20 pounds required on an occasional basis.
