Contract Administrator The candidate will help organize and respond to third-party insurance claims and subcontractor and supplier change requests; and, help manage processes and ensure our team is responding in a timely, professional manner. This person should be able to jump in and help the Contract Management team with other projects and administrative functions as they arise. This role will work with a large team, building one of the largest infrastructure projects in Los Angeles. Given the size of our team and project we need someone who enjoys helping to organize and manage lots of moving pieces. Will assist Contracts Managers and Project Managers draft and review correspondence, gather relevant evidence and electronically file all supporting documentation. Assess third-party liability claims for merit and respond to the claimants via telephone, email and formal letter as required. Prepare meeting agendas and meeting minutes for ad hoc meetings and regularly scheduled meetings. Prepare draft letter notifications regarding contractor achievement/compliance violation(s). Review cost back-up documentation for accuracy, compliance with contract requirements, and completeness. Review project documentation for completeness and compliance with prime contract requirements and relevant legal regulations. Run reports and input data into the change management software program. Assist in the negotiation of change requests and insurance settlement offers. A degree in a relevant field such as communications, English, business, or any other training that shows write well and stay organized is needed. Paralegal training and/or experience is needed. Contracts administration experience is essential. Strong writing and proof reading skills is needed. Experience working in an office that is generating and responding to large volumes of correspondence is essential. Hands-on experience performing office administrative functions including proofreading correspondence and organizing complicated processes is needed. Proficiency with the Microsoft Office suite of products and a willingness to learn and operate company specific document management software is needed.
