Contract - IP Legal Assistant The candidate will arrange and coordinate conferences and meetings. Will review and prepare expense reports. Arrange travel for key leaders. Maintain schedule and calendars for key leaders. Digitization of documents (document management system – especially CDAs, JDAs, licenses, patents). Maintain databases for patents, trademarks and legal documents (e.g. NDAs). Collect and coordinate correspondence from outside counsel. Prepare periodic priority task lists for IP matters. Oversee notice update system (contracts, NDAs, licenses, patents, etc.). Coordinate with patent counsel on filings and various projects. Compose and prepare correspondence, reports, and e-mails as required. Obtain inventor approval/signatures on necessary documents. Prepare patent prior art searches and summarize results for internal review. Track patent annuity fees and legal expenses; work with in house counsel on annuities for active patents on a quarterly basis. Document incoming invoices, obtain review/approval and prepare check requests. Track annual IP expenses by various categories. Support in preparing PowerPoints and charts. Maintain records on manufacturing production. Should have 3-5 years of previous administrative or related experience or equivalent combination of education, training, and experience required. Four year degree is preferred. Paralegal experience is preferred. Experience handling legal contracts/confidentiality agreements strongly is preferred. Experience with document management systems are needed. Excellent PC skills (Word, Excel, PowerPoint, and Adobe Acrobat) with high degree of accuracy is needed. Strong interpersonal skills with the ability to interact effectively with all levels of the organization is needed. Excellent communication and organizational skills are needed.
