Legal Operations Manager
The candidate will provide creative thinking to help identify and develop strategies for increasing value and reducing outside legal spending. Manage strategic plans or initiatives to make the Legal Department more efficient, as delegated by the AGC. Create metrics and monitor progress to measure success against strategic plans as well as benchmark the Legal Department’s performance and operations both internally and externally. Work with the CLO and AGC to ensure the Legal Department’s workflow is aligned to priorities and to identify solutions to increase overall efficiency. Partner with leadership in the Legal, Finance, and Procurement departments to develop and manage the Legal Department’s annual operating plan and budget. Assess all resources and legal tech related to matter management, knowledge management, eDiscovery, ethics & compliance, document management, IP management, corporate governance and billing management, then over time implement best in class technology, systems and processes. Once the eBilling partner is selected, partner closely with the provider to implement the system, enhancements, run detailed reports within the software tool and create spend dashboards. Create and manage websites, intranet sites and all knowledge management tools and processes. Streamline eDiscovery processes (legal holds, document review and management), reduce spend and partner with eDiscovery vendor if appropriate. Manage and respond to eDiscovery requests, subpoena responses, and information requests. Coordinate and track all litigation matters including responses, deadlines, and spend. Manage and continuously improve the document management across the entire Department including contract templates, policy documents and file organization. Implement knowledge management program such that information is easy to find for both the Legal Department team and its clients which may include creating and managing playbooks for the Legal Department, creating and maintaining intranet sites, identifying and providing training on self-service tools and templates for legal and business colleagues. Manage outside counsel engagements with the aim of reducing spend, maximizing value, and improving predictability, all while improving the quality of outside legal representation. Create master retention agreements, matter-specific arrangements, and outside counsel billing guidelines. Develop pricing models and negotiate fee arrangements with outside counsel firms. Create data and reporting processes to monitor pricing, performance, and savings. Oversee development and implementation of Legal Department policies and training across the Company. Assists with review and drafting of policies, procedures, and legal correspondence. Manage corporate governance functions for global subsidiaries. Manage the Legal Department’s linkages with HR, IT and other Staff Functions, helping to implement Company initiatives and minimize attorney time spent on such initiatives. Develop and implement the Legal Department’s strategic communications plan, e.g. newsletters, announcements, and messages from the leadership team; measure effectiveness and relevance. Identify training opportunities, facilitate education on best practices, and help create Legal Department-specific guidelines and policies. Coordinate Legal Department meetings by developing agenda with the CLO and AGC, record notes and action items in each meeting, document and follow up on action items between meetings. Create metrics and trends on key data points aligned to the Department’s key objectives and strategic plan, as well as overall department effectiveness and efficiency, and report to AGC, CLO and COO. Workflow/process analyses, unbundling and identifying and implementing ways of improvement including new solutions for keeping track of active matters, team capacity and legal exposures. Perform special projects and responsibilities assigned by the CLO and AGC.

Qualification and Experience

The candidate should have a Bachelor’s Degree required preferably in Business, Finance, Information Technology or equivalent combination of education and professional experience. A paralegal certificate from an ABA-accredited program preferred, or a combination of education and/or experience. Should have 5+ years of total work experience in legal operations or law firm management and corporate paralegal experience. Develop approaches and evaluate tools that will function within the Legal Department at scale. In-depth understanding of law firm billing, pricing, and compensation practices. Strong understanding of litigation/contract/transaction matter lifecycles, and legal delivery. Technology-savvy; proficient in all Microsoft Office applications, especially Excel; expertise with e-Billing software. Proven negotiation skills with senior partner level outside counsel attorneys and pricing directors of law firms. Demonstrated track record of influencing senior-level stakeholders (both internal and external). Excellent written and oral communication skills. Strong ability to communicate concisely with a wide variety of audiences, including senior management and key external stakeholders and proven ability to engage, influence and align stakeholders. Demonstrated ability to build and lead a complex function; success managing, leading and coaching others in a large, global organization in order to achieve objectives; and execute projects. Capacity to think strategically to identify issues and develop long-term solutions. Previous roles that emphasized project management, prioritizing, and consistently achieving results.
