Administrative Assistant The candidate will provide administrative support for the Director of Supply Chain and staff. Will assist with the development of meeting and presentation materials for Monthly production meetings, transportation/Hazmat meetings, and metrics reviews. Assemble data and analyze trends and exceptions in the Supply Chain area including shipping analysis, budgets, and metrics reporting. Maintain Supply Chain reports and plans such as the Cost Reduction Report, Physical Inventory Adjustment Report, Business Continuity Plan, etc. Maintain and organize contracts and the contract database by overseeing the development, routing, approval, renewal notification, and auditing for all contracts and exchange agreements involving Commercial Logistics, Operational Logistics, DOT/Hazmat, and Demand Chain Planning. Maintain and update corporate Transportation and Distribution (Rail Operations, Rail Maintenance, Demand Chain, Truck, and Hazmat) procedures including updates to Team Sites. Prepare Transportation Logistics purchase requisitions and maintain database. Prepare Private Carriage purchase requisitions, manage fuel card accounts, and resolve invoicing issues. Maintain data and systems for Private Carriage including delay reports, diesel exhaust fuel records, road side assistance cards, toll tags, licenses, and Training Mine records and curriculum. Maintain filing system for customs reports, import records, special permits, transportation security plans, hazmat registrations, violation notices, and agency correspondence. Track hazmat rules and required response dates as well as internal communications on new rules. Maintain Management of Change (MOC) database. Coordinate and assist with record retention and transmitting files to storage as required. Maintain goals and job descriptions for the department. Complete expense reports for salaried employees as needed. On-board new Supply Chain employees and summer interns. Assist with other projects as required.
Qualification and Experience
The candidate should preferably have an Associate’s Degree in Business or Paralegal Studies. Should have high school diploma or equivalent. Must have 5+ years of experience of manager/director level administrative support or equivalent competencies. Familiarity with commercial contracts and database management essential. Strong written and oral communications skills needed. Advanced level of proficiency in PC applications and operating systems including Microsoft Office Products (Excel, Word, PowerPoint, Access, and SharePoint) essential. Familiarity with SAP desired.
