Summary Law firm with litigation emphasis seeks assistant for lawyer / litigation team. The ideal candidate will be responsible for assisting attorneys in all stages of litigation matters. This candidate should feel comfortable conducting research, doing data entry, scheduling, maintaining case files, and completing other requests, as needed. Successful candidates will be responsible for areas including but not limited to scheduling; transcribing dictation; internal filing and electronic filing in state and federal courts; coordinating with court personnel, other law firms, witnesses, etc. Experience required. The successful candidate must have strong organizational skills, and superior communication skills; must be able to multitask; be a self-starter and resourceful. Candidate must also have strong writing, spelling, and grammar skills. Duties & Responsibilities Perform administrative duties, such as scheduling calendar hearings and deadlines, organizing case files, and managing logistics Assists attorneys in in all stages of litigation cases from onset through post-trial Oversees organization, maintenance and appropriate utilization of documents and other case-related materials, including maintenance of client-presentable and efficient work areas and case rooms Duties include Assisting and managing the discovery process by responding to written discovery, preparation of medical and billing summaries, legal research, and file management. Communicate with clients and witnesses to schedule meetings, interviews, and depositions Oversees and conducts document reviews and document productions; prepares documentation regarding criteria changes; tracks and reports on review progress and results Assists with basic legal research, including locating cases, statutes and regulatory materials; Research regulations, laws, and legal articles on internet and private search engines, such as Westlaw and Lexis to assist with the preparation of reports, case files, and legal advice Assists with law and motion practice, assembles motion papers and exhibits, coordinates filings of pleadings and briefs and ensuring proper service Drafts common pleadings, motions, notices and other court filings Familiar with federal and state rules of procedure and evidence for document format, content, filing, etc. and ensures compliance with rules Performs and oversees both simple and complex authority and fact cite-checking; confirms case quotes, proofreads briefs and other legal documents Assists and manages trial preparations, creates trial notebooks, identifies and Collect, examine, and organizes exhibits, documents, evidence, and other legal documents for attorney review and case preparation coordinates witness schedules, maintains trial calendars Assists in preparation of post-trial filings including briefing, motions for costs and sanctions, etc. and organize the case for appeal if necessary Assists with other department activities as needed, and performs additional duties and responsibilities as assigned Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues. Manage, organize, and maintain documents in paper or electronic filing systems Proficiency with E-filing and litigation support Provide general administrative assistance, such as maintaining the attorney's calendar and making travel arrangements Qualifications & Prior Experience Associate's Degree, Bachelor's Degree, or Certificate in Paralegal Studies or equivalent (preferred) Trial experience, including exhibit preparation, witness preparation and management, knowledge of subpoena preparation, experience working with judicial assistants and trial presentation vendors, experience assisting attorneys in the courtroom Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, Excel and Outlook, as well as document management 2+ years' of experience as Legal Assistant, Administrative Assistant or Litigation Paralegal preferably in a law firm setting or in a corporate legal department. Interpersonal skills necessary to communicate by e-mail, telephone, or in person to provide information with ordinary courtesy and tact in an environment with a diverse group of personalities. Ability to organize and prioritize numerous tasks and complete them under time constraints while maintaining a high level of attention to detail with minimal supervision. Ability to meet deadlines in an environment with frequent interruptions. Excellent writing and verbal communication skills. Ability to work independently as well as part of a team. Analytical and problem-solving skills. Ability to identify and resolve problem in a timely manner. Ability to communicate professionally, work efficiently and interact effectively with all levels of personnel, including management staff and support staff Flexible and solution oriented with the ability to respond quickly and positively to shifting demands
