Operations Manager- Dependency Court
Duties: Provide supportive leadership, and hold accountable, all members of the Operations Team for their responsibilities as specified in their job descriptions. Make budgetary recommendations to ensure operational needs are met. Work with Operations Team to consistently improve all operations and investigate and address any concerns or complaints regarding operational issues and services. Responsible for ensuring that is appropriately insured against all operational risks and negotiate renewal rates on liability policies an ongoing basis. Ensure that all facilities, in all locations, are well maintained, safe and secure. Serve as a liaison with outside security consultant. Responsible for familiarity with all security systems in all locations and ensure they are maintained and operational. Make recommendations for policies, procedures and technologies to ensure and promote employee safety. Ensure compliance with applicable local, state, and federal laws related to operational policies. Contracts and Leases Directly responsible for reviewing and negotiating all vendor contracts. Negotiate new leases and renewal terms, and follow-up with landlords and their property management teams as needed. Facilities Overall responsibility for ensuring 101 building is maintained in excellent condition. Work in collaboration with landlord and landlord’s property management representatives to facilitate necessary repairs and improvements that fall under the landlord’s responsibility. Take the lead in working with the landlord to negotiate needed building improvements such as interior modifications, additional solar panels, and landscaping enhancements. Develop productive and mutually beneficial relationships with all contractors, including, but not limited to, plumbers, electricians, HVAC specialists, security door companies, security system and alarm companies, the City of Monterey Park Departments of Building and Safety, general contractors, Southern California Edison, furniture suppliers, off-site file storage, scanning and shredding vendors, food and coffee supply companies, and others. Be available 24/7 to gain information on and then promptly report to the Director of Operations and the Executive Director all power outages, water intrusion issues, and other similar potential Page 2 building emergencies. Responsible for overseeing and updating security access procedures, protocols, and databases. Facilitate communication with Courthouse Administration in Lancaster, Monterey Park, and Sacramento courthouses regarding operational issues, and client and employee access and utilization. Be familiar with the Employee Handbook, operational policies and procedures, the CBA, annual budgets, employee benefits, and employee structured compensation plans, and provide advice and recommendations upon request. Provide advice and support to the development and maintenance of supervisor and departmental policy and procedures manual. Provide advice as requested on matters relating to corporate developments, compliance matters, insurance coverage, risk assessment, and non-profit law developments. Monitor compliance with the Judicial Council contractual requirements, including ondiscrimination policies, and anti-harassment policies. Perform periodic reviews of audit results for conformance with various policies and follow up as needed. Be familiar with library. Ensure that all books and periodicals, per policy, are timely and accurately ordered and distributed by the Operations’ Assistants.

Qualification and Experience

QUALIFICATIONS: JD Degree, MBA, or similar advanced degree relevant to non-profit organizational management, with 3+ years' practicing law or working in an operational capacity for an organization. Managing people and experience with organizational growth preferred. Must have the ability to engage with all employees with a positive and supportive demeanor on difficult and stressful matters and sensitive topics. Humility, thoughtfulness and the ability to reassess and change an opinion are essential functions of this position. Having a working understanding of budgeting and budget tracking, and knowing how to successfully follow-up and ensure compliance with organizational policies and procedures are required. Experience with safety, risk assessment and insurance coverage are helpful. Must have excellent written and verbal communication skills. Will have a track record of successfully managing multiple projects and overseeing teams in a fast-paced environment. While not required, a background in child advocacy, a demonstrated commitment to social justice advocacy and/or children’s issues are a plus.
