Legal Administrative Assistant The candidate will perform various administrative and project-related activities in support of a Trademarks and Brands legal group. Handles details that maybe confidential and critical in nature. Drafts and composes emails. Schedules and coordinates logistics for meetings and events. Organizes and manages calendar/schedule(s) for department. Makes travel arrangements and prepares expense reports. Maintains and organizes office supplies. Serves as resource for policies and procedures, software applications, etc. Provides back up support for department's trademark docketing system, assisting TM&B docketing specialist as needed. Offers timely billing support to TM&B's ops and billing manager, namely adding new matters to billing system, and processing/tracking miscellaneous payments. Provides substantial support for department's document management system including processing, copying, scanning, and filing incoming trademark evidence and other official documents (i.e. affidavits, declarations, legalized, notarized and apostilled documents, etc.). Manages TM&B's internal and public facing email hotline account, which includes responding to, forwarding or delegating numerous emails each day regarding code names, clearance requests, licensing questions, billing questions, trademark usage, enforcement issues, etc. Manages and tracks substantial TM&B correspondence generated by in-house enforcement practice. Provides back up support for the TM&B names database, assisting the TM&B domain name specialist with adding company adopted code names, trademarks, product names, usage guidelines, and translations into the database. Supports TM&B ops manager, assisting with updates and maintenance for all department process handbooks.

Qualification and Experience

The candidate must possess at least an Associate's degree in a relevant discipline. Should have 5+ years of administrative support to legal groups or related experience. Should have demonstrated proficiency with key administrative tools including Outlook* and/or E-mail, Word*, Excel*, PowerPoint*, Share Point. Experience with WebTMS or similar intellectual property docketing software preferred. Experience with CounselLink, or similar billing software preferred. Should have ability to deliver results and excel with minimum supervision in a fast paced, dynamic environment. Must have a high degree of professionalism and demonstrated ability to maintain confidentiality. Should have dependable and able to meet commitments. Should have strong verbal and written communication skills. Must have ability to function in an interrupt-driven environment and to prioritize work as needed to meet business needs. Should have ability to coordinate extensive meeting requests with numerous participants and secure conference rooms and bridges as needed. Must have ability to work with minimal supervision. Should have attention to detail to ensure flawless execution on assigned tasks.
