Legal Assistant/Office Assistant Duties: Drafting, proofing, and finalizing legal documents. Drafting, proofing, and finalizing correspondence to clients, attorneys, courts, and other third parties. Maintaining a docket/calendar for multiple cases, and adhering to strict time deadlines. Record keeping/filing. Prepare monthly billing, accept payments from clients, and maintain billing records and client payment history. Enter miscellaneous costs and expenses for clients and matters. Arrange for service of documents by Constable or other couriers as needed. Accurately account for billable and non-billable time throughout the day. Contact various third parties to obtain medical records, police reports, employment history, etc. Frequent client interactions: Schedule meetings and conferences, request and receive records and information from clients, work with clients to complete basic legal forms. Travel to courts, attorney offices, or other locations for in-hand deliveries with specific time deadlines. Office responsibilities Basic receptionist duties on a rotating schedule: Answering the telephone, greeting clients, taking and relaying messages. Opening and closing case files. Maintaining conference rooms, reception area, staff lounge, and other common areas in a clean and orderly manner. Miscellaneous tasks as may come up to keep the office running smoothly.
Qualification and Experience
Qualifications: Undergraduate degree and/or paralegal certificate a plus. Notary public, or willing to become a Notary Public. Previous experience in family law is a must. Personable, with strong interpersonal and communication skills. Team player/ability to work well with others. Able to take direction from multiple attorneys. Eager to learn and willingness to take initiative. Able to multi-task and adapt to change in a fast-paced environment. Ability to prioritize, manage, and delegate tasks. Detail oriented. High regard for organization. Proficient in Windows, Microsoft Office, and Adobe applications. Ability to learn and become proficient with law office management software. Dependable and has a vehicle.
