Executive Legal Assistant The candidate will support General Counsel. Will entail providing legal and administrative support of varying complexity for the General Counsel and the Legal Team, in addition to handling discreet tasks for the CEO. Perform legal research and assist GC on various projects. Prepare and process signature pages for CEO and GC. Support various discreet tasks relating to CEO matters under GCâ€™s guidance. Coordinate and handle highly confidential information, including for use in reports and meetings. Compose letters, memoranda and other documents and handle routine correspondence as directed. Make travel arrangements for department staff and process related expenses reports. Coordinate with other departments in organizing events and meeting. Utilize the companyâ€™s e-billing system to manage external legal spend. Maintain a tracking log of legal invoices. Handle other duties and responsibilities as assigned by attorneys and ensure the accurate and timely completion of tasks. Provide training to business/sales personnel and contracts managers. Gather and assemble documents for various legal/regulatory filings. Prepare and file documentation relating to entity formation and maintenance . Provide transactional support to Legal Team and other internal function with respect to various corporate transactions. Develop detailed knowledge and expertise in working with the Legal Departmentâ€™s tools and technologies so that she/he can provide internal support and training for day-to-day operational needs of the department. Manage all areas of IP operations, including annuities, foreign filing, docketing, IP management systems, and other areas. Coordinate collection and centralization of data and information pertinent to specific projects requiring due diligence. Draft, circulate and file board resolutions and minutes of entities as required. Maintain the companyâ€™s worldwide entity formations, registrations filing requirements.
Qualification and Experience
The candidate should have Bachelorâ€™s Degree, paralegal certificate is a plus. Must have 5+ years of experience working in corporate legal departments or large law firms, supporting multiple executive or law firm partners. Should be technically savvy- Experience with Microsoft Office Suite (Word, Excel, PowerPoint), Outlook, Adobe Acrobat Pro, Sharepoint, Docusign, and knowledge management systems. Experience collaborating with cross-functional and cross-geographic teams in a corporate environment is essential. Excellent problem-solving skill is essential. Notary Public or qualified to obtain one is essential.
