Legal Assistant The candidate will coordinate meeting schedules, calendars, conference calls and book conference rooms for Legal Department. Will update calendar events as necessary. Legal Department includes General Counsel, 4 attorneys, 3 paralegals and Director of Social Responsibility. Assist with scheduling, planning and logistics for Board of Directors meeting. Includes calendaring, coordinating meeting rooms and catering requests, partnering with security and reception, assisting with copies and preparation of written materials and filing of meeting documents. Under direction of counsel, assist with preparation of legal forms, subpoenas and discovery responses. Assist Legal Department with preparing and revising documents and other communications. Handle telephone calls, visitors, mail and other inquiries received by the Legal Department. Arrange and coordinate travel, assist with expense reports. Manage database for processing payment for all Legal Department invoices. Process check requests. Prepare new vendor set-up forms as needed. Organize, label, store and retrieve files as needed, both paper and electronic. Scan documents, make copies prepare outgoing mail packages and order office supplies. Support other Legal Department activities as required.
Qualification and Experience
The candidate should have 3-6 years of experience in an administrative role; prior work in a legal department. A law firm or working in a regulated industry preferred. Proficient with Microsoft Office applications, including Word, Excel, PowerPoint, Adobe Acrobat and Outlook; must have desire, ability and aptitude to learn and manage other software applications and systems. Bachelors Degree preferred. Exceptional organizational skills with ability to manage computer files, paper files, and overall executive management needs is essential.
