Administrative Assistant, Corporate Securities and Legal Operations
The candidate will provide critical administrative support, including document management, facilitation of contract flow and internal approvals, database entry, occasional preparation of expense reports, letters and mailings, and other typical administrative tasks. Will also handle some interesting projects, including (for example) assisting with filings, performing diligence, and providing support on corporate securities and board matters. Partner with Legal Operations Manager to administratively support a variety of technology deployed in the legal, compliance and quality assurance and regulatory affairs team. Provide support to electronic billing and matter management tool by opening and coding new matters, assisting Practice Area Leads to validate and populate key fields for more accurate reporting, add law firm participants to existing matters and conduct quarterly system updates. Act as a first line invoice reviewer to confirm law firms are managing their invoices to meet Outside Counsel Billing Guidelines and participate in critical monthly accrual exercise. Participate in planning and coordinating learning and development sessions for Legal & Regulatory Team Members, and opportunities to facilitate team connectivity, including assisting with the creation of newsletters, announcements, and other team wide communications.

Qualification and Experience

The candidate should have a Bachelor's degree. Must have 2+ years of legal administration, legal secretary and/or corporate paralegal experience OR 3+ years of other relevant experience. Exceptional skills in MS Office, including PowerPoint, Word, Excel and Outlook required. Prior experience in managing document production or other complex litigation support tasks is a plus. Prior experience with Ariba or similar contract management system is an asset. Experience with Thomson Reuters Legal Tracker (formerly Serengeti) or other eBilling/matter management software tools is ideal. Familiarity with time and cost billing processes is desired. Experience with SharePoint or other hub-type platform, and ability to administer updates to provide Global Team with an internal communication platform specific to Legal & Regulatory team members is preferred.
