Paralegal The candidate will provides support to Chief Legal Officer, resolves routine legal issues and manages contracts for the organization. Will assist on legal research, drafting letters, research memos, routine pleadings, and contracts; significant clerical and administrative responsibilities in the Legal department, including scheduling, file maintenance, document management and serving as the initial point of contact for the legal department. Responsible for clerical and administrative support to Chief Legal Officer. Performs tasks with interruptions throughout the day, while maintaining efficiency and composure. Manages the day-to-day operations related to contract management for the organization, including the development, administration, and maintenance of scanning and tracking process of the current and retired organization-wide agreements and contracts. Coordination of special projects related to litigation, transactions, or other legal matters. Research, drafting of memos, letters, routine pleadings, contracts, etc. Manages insurance policies, including policy renewal and obtaining insurance for employed physicians. Responsible for administering and reconciling legal department expenses and budget including archival of supporting documentation. Creates, reviews and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements, implementing improvements where necessary for improved efficiency and workflow. Reviews and codes departmental expenses and monitors department budget balances; compiles data in preparation of departmental annual budget. Responsible for submission of the departmental annual budgets. Transcribes, maintains and distributes agendas/minutes of meetings as assigned; assembles and distributes materials/reports and keeps official records of meetings. Prepares and edits correspondence, communications, presentations and other documents for Legal Department. Conducts research, collects, analyzes and compiles data to complete reports, questionnaires, filings and legal documents for Legal Department, auditors, attorneys, regulatory entities, and others. Designs, organizes and maintains specialized and custom forms, databases, records, reports, and presentations. Maintains organization of records management, including correspondence and files (electronic and hard copy), and document retrieval, including policies and procedures for discovery. Maintains Chief Legal Officer's calendar, coordinates appointments and meetings and provides notification of meetings to Administrative staff, Board of Trustees and others as appropriate. Coordinates off-site meetings, events, and retreats. Coordinates and schedules consultant visits. Answers phones, screens visitors and phone calls distinguishing between those that are of immediate importance, those which can be returned, and those to be delegated to others. Greets and directs customers (internal and external) and acts as a resource. Schedules reservations for meeting rooms; makes arrangements for catering, room set-up and audio/visual equipment as necessary. Makes travel, lodging and transportation arrangements for Legal Department. Serves as backup for administrative support staff, as directed. Coordinate and supervise project-based work. Maintains a high level of discretion and confidentiality based on the sensitivity of protected information.
Qualification and Experience
The candidate must be Graduate of high school and paralegal or legal assistant certificate or an Associate's degree in paralegal studies. Must have 2+ years of experience as a paralegal/legal assistant, gaining proficiency with document production and management related to both litigation and commercial issues. Microsoft Office and other relevant software application proficiency is required.
