Legal Assistant 2 Duties: Support the organization’s mission by providing legal secretarial support to Assistant Attorneys General (AAG) with the Transportation and Public Construction Division. Typing pleadings and other correspondence, docketing, filing, and service of documents with the court and other parties. Provide broad scope of secretarial, clerical, and legal technical services requiring knowledge of legal phraseology, procedural statutes and rules, administrative laws, local and federal court rules, department policies, and status of cases in progress. Open and maintain complex litigation cases using the case management system; obtain or relay case information to opposing counsel, district personnel, or other in-house personnel; and exercise discretion and preserve the confidentiality of records. Schedule meetings and telephone conferences for AAGs. Exercise independent judgment in managing workload. Close and prepare files for archive according to Records Retention Schedule from the Office of the Secretary of State. Serve as the division’s Garnishment Administrator. Oversee and monitor the process for all incoming/outgoing garnishments for the Department of Transportation in conjunction with agency payroll personnel. Assigned division contact for litigation consultant contracts and expert agreements. Review invoices for correct contract information and enters required data into Case Management System. Obtain approving signatures from appropriate division attorney staff and process invoice for payment. Track the status of agreements and monitors expiration dates, and balances of agreements. Communicate with consultants, client agencies, and attorney staff to ensure contracts are in compliance with AGO guidelines; resolves general billing issues. Independently and accurately create routine correspondence, legal documents, and forms; proofread typed documents. Prepare legal correspondence and opinions, contracts, reports, interrogatories, pleadings and briefs to be filed in various administrative venues, federal, superior, appellate, or supreme courts. Check citations, quotations, and statutory references for accuracy; prepare table of contents, table of authorities, and indexes for appellate and supreme court briefs.
Qualification and Experience
Qualifications: A High School Diploma or equivalent education and 2+ years of experience in a legal environment in support of an attorney, administrative law judge(s), review judge(s), or equivalent. OR 1+ years of experience as a Legal Assistant 1. OR a 2-year Degree in Legal Secretary Studies, Paralegal Studies or related field and 1+ years of legal office experience. A Bachelor's Degree may substitute for the Legal Secretary or Paralegal degree.
