Lead Executive Assistant The candidate will be responsible for ensuring that all administrative personnel are properly trained on all firm policies and procedures in an effective and consistent manner that reinforces firm’s Principals of Practice, and ensures office consultants/technical staff are adequately supported. Will provide professional, complex administrative and advanced support services to the ROM and other consultants. Utilize knowledge of Corporate operations and company policy to assist administrative support staff and consultants in navigating a complex work environment. Proactively serve as primary liaison between the ROM/consultant and their peers, clients, vendors, and other internal and external contacts. Build and manage an administrative services support team to provide optimal administrative and facility support to all technical staff (including remote staff). Assist HR in recruiting, selecting, orienting, and training administrative support employees. Conduct onboarding activities for new staff to include setting up an office and providing training on firm systems, processes and procedures. Strive to improve efficiency and reduce lost productivity among the Georgia administrative support staff by continually evaluating the workload and making adjustments when necessary. Keep accurate and timely records of all billable and non-billable time for themselves, and for consultants as needed. Initiate new project set-up of project file, including project intake and related protocol. Coordinate consultant’s schedule for inspections and meetings; adds/edits calendar entries and maintains schedules. Review material for consultant’s approval for typographical accuracy, format, conformance with procedures, internal consistency while facilitating proper quality assurance before releasing to client. Coordinate file production, including copying, organizing and/or scanning file material for preparation of deposition/trial materials, as required. Maintain consultant's current CVs, testimony lists, certifications and professional memberships. Proactively monitor and communicate deadlines related to corporate initiatives to Georgia staff. Approve and track PTO requests for administrative support staff, ensuring constant administrative coverage. Act as a resource for administrative staff and serve as back up to Georgia ROM for reviewing and approving expense reports before payment by Accounting. Coordinate preliminary invoice review and initiate collection efforts on behalf of consultants. Conduct mid-year and year-end performance reviews for the administrative support staff that assess their performance and goal attainment in a consistent and equal manner, which may include input from the consulting staff. Distribute updated forms and templates to Georgia administrative staff and other appropriate personnel. Schedule travel arrangements for consultant staff on an as need basis.

Qualification and Experience

The candidate should have Bachelor’s degree dfirmred or equivalent combination of education and administrative support experience in a professional service organization. Must have 5+ years of Executive Administrative experience and 3+ years Management/Supervisory experience. Paralegal/legal background is preferred. Strong PC proficiency including the entire Microsoft Office Suite is essential. Very proficient at providing executive level support is essential. Good project management skills to coordinate and lead a variety of initiatives. Advanced communication skills, both written and verbal, with proficiency in grammar, spelling and punctuation is essential.
