Judicial Support Specialist 1 - Circuit Civil Court Operations Division

Duties: Responsible clerical work in the Circuit Civil Operations Division of the Administrative Office of the Courts involving heavy public contact. Works under general supervision and provides information to other divisions and the public, applying significant knowledge of departmental rules, regulations and procedures. Work is performed within established procedures but carried out with independence. Provide customer service by operating a multi-line switchboard at the main desk for the AOC at the Dade County Courthouse; update voice mail and check messages. Assist in-person visitors by responding to inquiries regarding case information and court hearings, replace signs weekly on 9th floor and main lobby. Report copier readings to Procurement as necessary, receive and distribute mail, maintain copies of and update court directories. Provide assistance by maintaining and updating Info booth digital display. Upload court information on a weekly basis to the monitor in the lobby of the courthouse. Provide information on Circuit Judges, Civil and visiting judges and relocation information for judges including changes in courtroom and chamber assignments. Assist with office moves and furniture repair documentation (backup). Act as liaison with the Procurement office for distribution of publication to judges, ordering blank orders and supplies for unit. i.e., Juror certificates. Orders office supplies for the 9th floor; maintain accurate list of emergency preparedness items requested and deliver same to judges in the Division. Emergency Duty phone distribution; assist with the preparation of the Division’s emergency judges’ list as well as list of alternates and provide information to the Daily Business Review. Assist Certified Process Server Program by assisting the Program Coordinator with maintaining and updating the list of certified process servers. Provide information to court users and litigants requiring the services of a process server. Assist in the recertification process by receiving applications, taking photographs, assisting with administration of exam and coordination of the swearing in ceremony. Assist in the coordination and distribution of For Want for Prosecution (FWOP) hearings. Perform other clerical duties such as opening and distributing incoming mail, data entry, filing, faxing, and photocopying. Performs related work as required.

Qualification and Experience

Qualifications: 2 years of college or vocational school education in office skills, paralegal or a closely related field, supplemented by two years of related experience in general clerical work and customer service; or any equivalent combination of education and experience that provides the following knowledge, skills and abilities: Knowledge of business English, spelling, punctuation and arithmetic. Knowledge of court and program procedures. Knowledge of modern office practices, procedures, equipment and systems. Knowledge of personal computer applications including word processing. Ability to understand and carry out oral and written instructions. Ability to make minor decisions in accordance with established policies and procedures, laws and regulations, and to apply these to work problems. Ability to develop and maintain cooperative and effective relationships with all individuals contacted. Knowledge of personal computer software – Microsoft Office Outlook, Word and Excel. Ability to meet and deal effectively with the judiciary, court administrative staff and the general public, and to use tact and good judgment. Ability to communicate clearly and concisely, orally and in writing. Excellent customer service skills. Bilingual English/Spanish preferred.
