Paralegal Manager, West Coast Duties: Serve as primary point of contact for paralegals on day-to-day issues; escalate as appropriate. Conduct regular check-ins with paralegal team members to review productivity and professional development matters. Monitor paralegal workload to ensure projects are being handled by appropriate personnel at the appropriate level and to ensure workload is balanced across Business Units and offices. Collaborate with Attorney Development Managers (“ADMs”) & Business Unit Directors to ensure paralegals are meeting the needs of attorneys; confer with attorneys as necessary. Approve Workforce Central timecards. Manage overtime expense by checking Workday time entries against Intapp time entries for consistency; follow-up with paralegals regarding unallocated overtime. Monitor paralegal time entry to ensure compliance with time entry policy; address policy violations with paralegals. Conduct informational interviews as necessary. Monitor new matters and budget reports; collaborate with ADMs to develop proactive staffing of team members. Monitor productivity of paralegals and proactively address over or under-utilization. Chair quarterly paralegal lunches in each department, and collaborate with paralegals and others to develop meeting agendas. Develop opportunities for cross-office training and team integration and chair presentations. Develop comprehensive training program for paralegals and present training sessions. Develop additional structure around case assistant/project assistant program. Recruiting – Replacements & New Headcount. Review resumes sourced from Human Resources (“HR”). Identify interview team and confer before interview re: goals/objectives of position. Interview candidates & gather feedback from interview team. Meet with 2nd year case assistant to formulate departure plans. Evaluate need for replacement case assistants based on productivity. Collaborate with HR and other organizational departments to finalize orientation schedule for all new hires. Draft and distribute welcome e-mail. Collaborate with ADMs to secure first assignments. Provide paralegal team overview as part of orientation. Develop paralegal overview orientation materials. Orientation & Training – Attorneys. Develop lateral and 1st year attorney orientation materials. Deliver paralegal orientation to all new attorneys. Annual Performance Reviews (Spring for Case Assistants/Fall for Paralegals). Conduct 90 day reviews for all new paralegal hires. Work with HR to launch annual review process including developing timeline, preparing communications, finalizing review forms. Monitor review process to ensure feedback from attorneys is gathered, and paralegals complete self-assessment. Evaluate performance on an annual basis and write performance reviews for paralegals and case assistants. Collaborate with finance to prepare year-end paralegal productivity data. Collaborate with Director and HR to prepare rating and promotion recommendations.
Qualification and Experience
Qualifications: Bachelor’s degree is required. 7+ years’ experience working as a paralegal in a large-firm setting. Experience mentoring & training junior paralegal team members.
