Litigation - General (consumer)

Legal Assistant - Litigation The candidate provides clerical and legal secretarial assistance to the attorneys in the Litigation department, including making travel arrangements, calendaring/ docketing important dates and events, tracking appointments, drafting legal correspondence, and maintaining electronic filing for assigned attorneys. Operates standard office equipment, including a personal computer, copiers, scanners, facsimile, and telephone. Prepares correspondence, memoranda and other legal documents from written and oral drafts; drafts standard correspondence, and other documents required by the Litigation process; understands specialty areas of practice and is capable of attaching appropriate enclosures for specialty area without the need for supervision. Reviews completed documents thoroughly to check for errors in grammar, spelling, punctuation, and formatting. Opens new files, prepares and collects conflict of interest checks, and maintains client and general files. Conducts periodic review for possible storage of closed files; prepares files for closed storage. May receive clients and visitors; maintains good public relations with clients; observes confidentiality of the attorney-client relationship. Makes client and client related appointments for attorneys upon request. Coordinates attorney travel schedules. Inputs attorney time for time and billing purposes on a daily basis. Assists with overflow typing, filing, photocopying, receptionist coverage, and/or time entry as requested. Exemplifies excellent customer service in every interaction with the Firm’s clients and the public. This includes responding to messages and requests in a timely manner, graciously extending oneself to accommodate those served by the Firm, and performing job duties with enthusiasm and a genuine perceivable zest to be of service. Handles submission and tracking of attorney expenses. Perform arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems at a level normally acquired through completion of high school or equivalent. Scheduling appointments, depositions, and scheduling/coordinating necessary resources such as conference rooms and court reporters, with vendors, office services and other departments. Providing assistance to others in office whenever requested based on priorities of current work-in-hand, promoting teamwork and mutual cooperation among all staff members.
Qualification and Experience
The candidate must have ability to proofread and perform editing (e.g., punctuation, grammar, spelling) of law office correspondence and legal matters. 2 years of on the job experience necessary to gain an understanding of law office policies and procedures and produce accurate legal documents with minimal supervision. Should have ability to type electronic documents from dictated tapes or handwritten documents. Must have ability to organize and prioritize numerous tasks and complete them under time constraints with minimal supervision. Should have ability to pay close attention to detail. Must be proficient in software programs such as Microsoft Word, PowerPoint, and Excel, or other similar software programs necessary to perform essential duties of the position. Should have interpersonal skills necessary to communicate fully, effectively and appropriately by telephone, in person, and via email with a wide range of clients, attorneys and staff under a wide range of situations and circumstances so as to consistently provide customer satisfaction with each interaction. iManage experience required. 2+ years’ prior experience in a law firm. High School Diploma required, Bachelor’s degree preferred. Must have understanding law office policies and legal document requirements. Should have ability to read and write in order to proof and perform minor editing of routine law office correspondence and legal case matters. Must have ability to perform non-complex arithmetic calculations when verifying calculations on forms or documents. Should have experience maintaining records and filing systems. Must have ability to transcribe legal documents, correspondence and reports from rough draft or dictation. Should have ability to organize and prioritize numerous tasks and complete them under time constraints. Must have ability to proofread typed material for grammatical, typographical or spelling errors.
