Deputy Clerk III Duties : Respond to requests at the front counter and over the phone and will work with the Clerk of Court to perform jury, minor offense, criminal, civil, small claims, and bookkeeping clerical tasks. Respond to a large variety of questions via phone or in person from the public as well as internal court staff. Set up and maintain all jury data, including screening jurors through questionnaires; monitor jury attendance, excusals, and deferments; submit jury statistical reports as required, maintain the jury room, and review jury-related bills for approval; may serve as a bailiff when there is a jury panel. Accept filings, set up new case files and enter data into the computer management system; issue and recall warrants, issue summons, create judgments, close files, transfer files and paperwork to out of town locations, and distribute exhibits. Screen incoming documents; research and resolve special problems related to case filings, answer written inquiries, and ensure compliance with case management standards. Enter orders, judgments, and conditions imposed by the court in the case management system; generate and complete audit and case processing reports; prepare and post calendars, notice to parties, and result hearings as necessary. Serve as an in-court clerk for judicial officers conducting hearings in the Unalaska Court; set up the courtroom and recording equipment, ensuring an accurate record is made of proceedings and be responsible for maintaining the equipment. Keep complete and thorough log notes of proceedings, prepare and distribute paperwork during and following court proceedings. Swear in witnesses and jurors; mark, secure, and keep the court log of exhibits; complete all assigned duties adhering to court system policies, procedures, and standards.
Qualification and Experience
Qualification : The candidate should have Graduation from high school or completion of a General Education Development (GED) certificate and 1+ year of office clerical experience and the ability to type at least 40 words per minute (net). Proficiency using Microsoft Word, Excel, and Outlook is required. Must have experience dealing with high-priority, confidential, or sensitive information and experience providing superior customer service and possessing excellent organizational skills. Experience working or living in rural Alaska is required. Experience handling money and preparing receipts is required. Experience communicating with co-workers and the public electronically is required.
Substitution: Additional office clerical work experience will substitute for the high school diploma or GED certificate on a month-for-month basis. Completion of 36 semester credit hours or 48 quarter credit hours of coursework from an accredited college will substitute for the year of required office clerical experience. Completion of an appropriate vocational training course of study such as legal secretary, paralegal, or office skills will substitute for the required office clerical experience on a month-for-month basis.
