Legal Administrative Assistant The candidate responsible for providing administrative support for attorneys and federal and state lobbyists. Prepare legal documents and general correspondence from dictation or written format in an accurate and timely manner; draft standard correspondence, proofread, edit and format documents. Maintain and coordinate calendar, travel and meeting schedules. Accurate and efficient time entry of attorney services. Prepare client bills, check requests, expense reports and other administrative forms as required. Effectively handle incoming and outgoing communications; research, prioritize and follow-up on matters in a timely and efficient manner. Assist with the day-to-day operational functions of the office and acts as a liaison with other office locations on administrative matters. Assist with researching, tracking and monitoring legislative and regulatory informational websites and on-line tools. Maintain organized and secure client and firm electronic and paper document files. Facilitate the day-to-day purchase of general office supplies and expense items, as well as the maintenance of office equipment, in accordance with established vendor relationships. Provide reception coverage, including managing incoming calls, greeting visitors and courier service pickups. Coordinate the day-to-day facilities operations (such as distributing building security access cards, reporting maintenance issues, ensuring comfort and functionality of the office space, etc.). Provide assistance to attorneys and staff in other office locations working through or on-site in the Washington DC office, such as hotel reservations and court filings. Coordinate special projects, such as office events and meetings.
Qualification and Experience
A High School diploma required; college coursework desired. Should have 3 years of government relations experience in a law firm, lobbying firm or government agency. Experience and knowledge of activities on Capitol Hill preferred. Knowledge of the legislative process, House and Senate organization and procedures is required. Knowledge of the regulatory process and the Executive Branch and Federal agencies is needed. Should have excellent organizational, analytical and problem-solving skills.
