Supervisor of Administrative Services
The Candidate will be responsible to functions as part of the local office and regional management teams, attending periodic meetings and working to meet office, regional and Firm wide goals. Manages all aspects of assigned legal administrative and Paralegal staff: Ensures all attorneys' legal administrative staff and Paralegal support needs are met. Ensures assigned staff have the tools and resources needed to perform at peak performance. Supports and encourages the professional growth and development of assigned staff. Creates and modifies staff support assignments for attorneys and coordinates back-up support as needed. Establishes and maintains well-balanced assignments according to Firm staffing ratios. Manages assigned staff time and attendance, including payroll timecards. Acts as a liaison between assigned staff and attorneys regarding assignments and performance issues. Monitors individual performance on an on-going basis. Conduct one-on-one coaching and solicit feedback, address issues and concerns, and build team cohesion, including leading regular team meetings. Leads and participate in the evaluation process for assigned staff. Works closely with the Regional Director of Administration – West (US) to ensure that local office administrative needs are being met. Conducts research on providing new services to assigned offices.Keeps abreast of new products and trends in law firm administration and make recommendations as appropriate.Maintains relationships with vendors providing services to the Firm, ensuring high quality of service. Ensures Firm and local office policies and procedures are implemented in a timely and appropriate manner. Assists the Regional Director of Administration – West (US) with preparing assigned departments’ annual expense budget. Provides back-up support to the Supervisor of Administrative Services in Los Angeles. Provides spot and special project support to various departments including but not limited to, Business Development, Facilities, Attorney Recruiting & Development, and Human Resources on an as needed basis; Examples of responsibilities may include:greeting office staff and attorney candidates, scouting event locations, making meeting arrangements, running on and off-site client and firm events, etc. Will assist with coordinating office social events with local committees, fundraising initiatives and other special projects as assigned. Manages and deploys notary public services for assigned offices. Maintains an active membership in the national and local chapters of the Association of Legal Administrators (ALA).

Qualification and Experience

The candidate should have Bachelor’s degree required with 5 + years of experience in administration, legal secretary and/or paralegal, or other relevant support department of a law firm or professional services firm required and 3 + years minimum of supervisory experience required. Detail oriented, creative and eager to learn.Proven ability to organize, prioritize, and multi-task in a time-sensitive environment while maintaining high standards of work quality. Excellent emotional intelligence and strong leadership skills to effectively communicate in person, in writing, via video conference, and by telephone with a diverse group of attorneys, staff and vendors with professional diplomacy and courtesy. Ability to collaborate with and develop positive relationships across all functional areas and departments. Ability to select, develop and coach direct reports to deliver excellent client service. Proficiency with MS Office Suite and other software.Ability to create user-friendly spreadsheets, reports, agendas and presentations. Ability to work overtime as needed.At times the position may require more than the standard 35 hours per week to perform the essential duties. Ability to interact with all levels of personnel and project a strong and positive image of the firm. Strong interpersonal skills are required to communicate with a diverse group of internal and external clients, attorneys and staff. Highly developed oral and written communication skills.
